Department Coordinator - Maternity Leave Cover

Panasonic Avionics Corporation (PAC) is a world leading supplier of in-flight entertainment, communication system and aircraft maintenance company with Australia’s head office located in Alexandria, NSW with offices in NSW, VIC, NT, SA, QLD and WA.

An exciting fixed-term opportunity has opened for a Department Coordinator to join our close-knit team as full-time maternity cover. The role is based at our Alexandria Head Office

JOB SUMMARY

  • Provides administrative support to relieve department managers or staff of administrative details. May coordinate messages, appointments, travel arrangements, information to callers, file maintenance, department office supplies and mail. Researches, compiles and proofs documents which may be of a confidential nature. May support specific department-related projects. Operates automated office equipment. May be assigned to various functional areas of the company.

Duties and responsibilities:

  • Administrative

    • Performance of administrative tasks, operational facilitation, project support, research assistance, internal/external communication, and other duties so as to increase the operational efficiency of the department/team.
    • This is a multi-faceted position that involves the performance of various departmental tasks and provides the opportunity to serve as a cross-functional team member.
    • Perform administrative tasks such as purchase requests creation, recordkeeping, photocopying, document distribution, and retrieval of packages or mail from delivery points.
    • Coordinate day-to-day activities and logistics for department initiatives.
    • Attend key meetings with the express purpose of recording meeting minutes, documenting attendance, cataloging action items, and ensuring distribution of said information to key personnel and department archives.
    • Set-up the use of meeting rooms, meeting schedules, and affect increased meeting attendance through direct communication with key attendees prior to meeting.
    • Coordinate telephone and in-person meetings with 3rd parties.
    • Receive visitors, supervise check-in with building receptionist, and escort visitor to/from meeting room per ISM policy.
    • Occasionally deliver paperwork to the other Panasonic buildings and run local errands in support of team.
  • Project Related Activities

    • Perform non-technical research and other related tasks in support of the team.
    • Follow-up on assigned action items to ensure completion.
  • Reporting/Documentation Related Activities

    • Prepare and update a variety of periodic and special documents and reports.
    • Proofread documents for accuracy, completeness, compliance with departmental policies, formatting, and correct English usage, including grammar, punctuation, and spelling.

EDUCATION/EXPERIENCE REQUIREMENTS

  • High School diploma.
  • 3 - 5 years of related experience.
  • Advanced skills in the use of MS office suite of software applications i.e. Excel, Word, and PowerPoint.

KNOWLEDGE/SKILL REQUIREMENTS

  • Ability to communicate effectively and to work collaboratively with internal and external customers at all levels and diverse backgrounds.
  • Posses research skills and ability to prepare reports and recommendations.
  • Practiced ability to complete tasks quickly including the capability to multi-task.
  • Ability to analyze and resolve problems.
  • Demonstrated professionalism and ability to protect confidential information.
  • Ability to organize own work, coordinate projects, set priorities, meet deadlines, and follow up on assignments with a minimum of direction.
  • Ability to maintain professional appearance.
  • Ability to be discreet with confidential matters and maintain compliance with ISM.
  • Applies acquired job skills and company policies and procedures to complete assigned tasks.
  • Works on assignments that are semi-routine in nature but recognizes the need for occasional deviation from accepted practice.
  • Normally follows established procedures on routine work and requires instructions only on new assignments.

OTHER REQUIREMENTS

  • Possess mobility to work in a standard office setting and to use standard office equipment, including a computer, and to attend meetings at various sites within the Panasonic Avionics Corporation campus (off- site travel will be minimal).
  • Ability to lift and carry materials weighing up to 10 pounds; vision to read printed materials and a computer screen; and hearing and speech to communicate in person and over the telephone.
