Job Summary:

We are seeking a highly experienced and detail-oriented individual to join our dynamic team as the Facilities CMMS & Planning Specialist III. The Facilities CMMS (Computerized Maintenance Management System) & Planning Specialist III is responsible for managing the maintenance management system to ensure optimal operation of facilities, equipment, and resources. This role includes coordinating preventative and corrective maintenance, asset management, work order tracking, and facilities/engineering planning. The specialist collaborates with facilities management, maintenance teams, engineering, and vendors to ensure operational efficiency and compliance with organizational standards.

Essential Duties:

CMMS & Asset Administration

  • Oversee CMMS implementation, maintenance, updates, and ensure data accuracy for assets and inventory.
  • Generate reports on work orders, maintenance activities, and equipment performance for management.

Maintenance Planning & Scheduling

  • Plan and schedule preventive maintenance, inspections, calibrations, and validation assessments to minimize downtime.
  • Assign, prioritize, and track work orders while coordinating planned outages with Facilities Managers.

Facilities & Project Coordination

  • Collaborate on long- and short-term facilities improvement plans, renovations, moves, and expansions.
  • Deconflict projects with operations, engineering, and maintenance to ensure production continuity.

Vendor & Inventory Management

  • Manage vendor relationships, warranty agreements, and parts procurement while maintaining lifecycle data in CMMS.
  • Communicate with Purchasing and Inventory Agents on parts requirements, stock levels, and scheduling issues.

Compliance & Team Support

  • Ensure regulatory compliance, documentation accuracy, and audit readiness for inspections and repairs.
  • Promote safety, environmental, and quality programs while fostering a cooperative, problem-solving team culture.

Personal Protective Equipment (PPE) Requirements:

To ensure the health and safety in the workplace and for the protection of our employees’, wearing PPE is a possibility and includes equipment such as a full Tyvek suit, safety shoes, gloves, safety glasses, face mask, and a full hazmat suit that includes a respirator.

Qualifications

Qualifications: Required and/or Preferred

Education:

  • Basic/Required: Bachelor’s degree in Facilities Management, Business Management, Business Administration, Engineering, or a related field preferred.

Essential Qualifications:

  • 4-7 years in maintenance planning and CMMS administration, preferably in an industrial setting.
  • Working knowledge of basic computer skills, internet and Microsoft office including Word and Excel.
    • Statistical Analysis
    • Pivot Tables
    • Macros
    • Power Query
  • Hands-on experience with software (e.g., MaintainX, Maximo, Fiix, or SAP PM).
  • Need general parts, electrical, and mechanical equipment understanding.
  • Experience with Total Productive Maintenance (TPM) and Reliability-Centered Maintenance (RCM) programs.
  • Must have working-level knowledge of the English language, including reading, writing, and speaking English.
  • Requires valid State-issued driver’s license.

Preferred Qualifications:

  • Bachelor’s degree in Facilities Management, Business Management, Business Administration, Engineering, or a related field preferred
  • Strong organizational and project skills.
  • Proficiency in data analysis and reporting.
  • Excellent communication and interpersonal abilities.
  • Familiarity with safety and compliance standards.
  • Attention to detail.
  • Ability to multitask and prioritize.
  • Proactive problem-solving skills.

Preferred Certification(s):

  • Facilities Management Professional (FMP) or (IFMA)
  • Building Operator Certification (BOC)
  • Certified Facility Manager (CFM)
  • Certified Maintenance and Reliability Professional (CMRP)
