Position

RBC is offering a unique opportunity to join our team as an Executive Assistant / Officer Manager based in Frankfurt.

You will support the investment and corporate banking team on organizational and administrative matters, partnering with the Administrative Assistant to manage the Frankfurt office. Together, you'll serve as a central hub—coordinating across management, customers, service providers, and international colleagues—ensuring seamless communication and operational efficiency.

Job Responsibilities

Executive assistant to the senior officers of RBC Capital Markets (Europe) GmbH

  • Serve as the communication link between the Frankfurt office and RBC's leadership and functional areas in London, Toronto, and New York.

  • Manage all reporting requirements, including regulatory, tax, and internal reporting.

  • Maintain HR files for office employees.

Executive Assistant support for the Managing Directors, Director-level bankers, VPs and analysts of the Frankfurt office

  • Support senior management client communications and appointment management with RBC's client base.

  • Manage travel, itineraries, and expenses for in-person client meetings across the DACH region.

  • Process expenses and invoices in a timely manner.

  • Arrange internal and client meetings on and off office premises, including booking meeting rooms and catering, and welcoming registered guests.

Office Manager responsible for maintaining RBC's Frankfurt office infrastructure

  • Plan and organize client events across the DACH region.

  • Organize recruiting events and coordinate with RBC's London-based recruiting function.

  • Monitor office infrastructure, including office supplies, facility management, accounting, maintenance, and repair works.

  • Serve as the interface with RBC's London-based support functions, including IT, HR, Accounting, and Real Estate.

Key relationship

  • Develop inter-office relationships across the RBC group, connecting the Frankfurt office with London, New York, and Toronto.

  • Build external relationships with RBC clients across the DACH region, supporting senior management's client engagement activities.

  • Manage key supplier relationships in your office manager role, including travel, stationery, and other vendors.

  • Interact with office staff and group employees in a professional and team-oriented manner.

Skills & experience required

  • Fluent in German and English.

  • Prior experience as an Executive Assistant or Office Manager.

  • Strong organizational skills with the ability to multitask and prioritize effectively.

  • Meticulous attention to detail.

  • Excellent interpersonal skills and a collaborative approach, working effectively with assistant teams across Europe and globally.

  • Strong work ethic and positive attitude.

  • Discretion and the ability to handle sensitive matters confidentially.

  • Proficiency in Microsoft Office applications, including Outlook, Word, and Excel.

Working conditions / Compliance

  • Work in the open plan area of the Frankfurt office (private side).

  • Travel within Germany as needed to support recruiting and client entertainment functions.

  • Maintain meticulous attention to detail in all oral and written communication with RBC clients.

  • Demonstrate proficiency with standard desktop software, which is essential for the role.
