Job Description

What is the opportunity?

The successful candidate must be a detail-oriented administrative professional with strong organizational skills and proficiency in Microsoft Word, Excel, Outlook, Power Point, and Adobe Acrobat. The candidate will provide administrative support to a medium-sized team of professionals as well as work collectively with the Admin Team to efficiently support the daily operations of the Global Investment Banking Department as a whole.

Strong oral and written communication skills, initiative, and the qualities necessary to function as a team player in a fast paced and challenging environment are essential.

What will you do?

  • Creation, editing, and formatting PowerPoint presentations, correspondence, and reports for internal and external clients
  • Production duties including printing and binding of presentation material
  • Plan and coordinate internal events, meetings, conference calls, and project closings
  • Coordinating travel requirements and itineraries
  • Review and completion of expense reports
  • Maintaining and updating team’s vacation and absence management system
  • Ensuring corporate policies and procedures are maintained and upheld
  • Maintain and improve filing system for use of all administrative staff
  • Assisting team with computer equipment/software support as needed
  • Accounting as required, including client engagement and accounts payable
  • Manage correspondence, responding, and prioritizing as appropriate and with discretion
  • Collaborate with Admin Team on administrative duties including couriers, office supply ordering, occasional reception relief and other duties as required

What you need to succeed?

Must have's

  • Must have at least 3+ years of experience as an administrative assistant supporting multiple people at various levels
  • Computer proficiency in Microsoft Office, PowerPoint, Word, Excel, and Adobe Acrobat. Experience with CRM, Concur, Workday, and CoupaHost a plus
  • Must have strong organizational abilities and a proactive approach with the ability to anticipate needs
  • Ability to be detail oriented while handling multiple, time demanding projects within tight deadlines
  • Strong interpersonal, diplomacy, and communication skills both written and verbal
  • Work collaboratively in a team environment
  • Independently be able to take initiative and action tasks with a focus on productivity
