The Manager, Custody Operational Process is responsible for supervising and leading a centralized administration team within Scotiatrust’s Custody Services group. The incumbent is responsible for delivering superior service to Scotiatrust’s high-net worth individual clients, institutional investors and agents of clients including investment management firms, both internal and external to Scotiabank, ensuring a high level of operational efficiency and control through oversight of non-client facing activities and coordination of securities administration while maintaining frequent contact with client-facing teams.

  • Provide leadership through oversight, coaching, training and fostering a team approach to motivate and increase efficiencies
  • Complete individual performance reviews and set team and individual objectives
  • Ensure a high quality of client service is provided to all external and internal clients
  • Develop a thorough knowledge of each assigned client relationship and their securities administration arrangement and reporting requirements
  • Contribute to the improvement of service levels and department reputation by maintaining a high level of responsiveness to clients and identify / help implement opportunities for improvements in productivity, process control, and cost effectiveness
  • Respond to enquiries and escalations from clients, internal staff, investment counselors etc. on a timely basis, liaising with internal departments to resolve issues or reconciliation exceptions
  • Create an environment in which his/her team pursues effective and efficient operations of his/her respective areas in accordance with Scotiabank’s Values, its Code of Conduct and Global Sales Principals while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational compliance, AML/ATF/sanctions and conduct risk
  • Manage centralized administrative functions including but not limited to co-ordination of asset transfer in’s, corporate action notices, self-directed RRSP administration and other functions as identified
  • Effectively co-ordinate and address client requests and authorized client instructions
  • Monitor activity in client accounts, ensuring adherence to policy & procedure while identifying unusual account activity and keeping the senior manager apprised of all significant and ongoing issues
  • Ensure all work delegated to others has been completed
  • Manage the resolution of operational issues, taking appropriate action to prevent recurrence
  • Maintain service standards and minimize financial loss situations
  • Ensure proactive service and support of Scotia partners with referral opportunities
  • Identify cost saving opportunities and identify potential financial loss situations through analysis of trends, and recommend solutions to enhance procedures
  • Continually expanding basic knowledge of the securities industry, securities administration processes and regulation, AML, FATCA, policy & procedure
  • Assist the Market Lead, and the department, in projects, initiatives and other duties as assigned as required

Do you have the skills that will enable you to succeed in this role? – We’d love to work with you if you have:

  • A university degree or the equivalent industry experience
  • Minimum 5 years of experience in securities administration
  • Canadian Securities Course is an asset
  • Relationship management and/or project management experience
  • Strong general knowledge of Securities Industry conventions, procedures and related internal policies and procedures with expertise in, trade and settlement processing, cash processing, entitlements collection and client-facing/onboarding documentation (AML/FATCA).
  • A strong understanding of the Broadridge / CanTrust system, Microsoft suite and Wealth Management systems
  • A high level of knowledge of Scotiatrust policies and procedures and general knowledge of policies and procedures in other areas of Scotiabank
  • Strong judgement and analytical skills to manage situations not covered by documented policies and procedures
  • Strong communication skills, written and verbal
  • Analytical thinking to resolve unfamiliar problems/situations to identify and assess risk
  • Organizational and time management skills
