Spencer Stuart is seeking a Human Resources Coordinator for the internal Human Resources Team. This is a full-time role, will be based in Spencer Stuart’s Chicago office and will support our internal Human Resources Function. The HR Coordinator will be responsible for facilitating the onboarding of new hires, process employee and benefit changes, terminations, data accuracy and reporting as well as a variety of HR related projects.

KEY RESPONSIBILITIES
Provide internal recruitment support – open job requisitions internally and externally, conduct and review background checks and generate offer letters for candidates in Workday.
Facilitate new hire orientation and ensure completion of all new hire paperwork including the verification of I-9 process and signing of NDA’s.
Initiate and manages completion of background checks for internal promotions and nominations.
Review and process HR related vendor invoices in a timely manner.
Assists with the Performance Management process and ensure timelines are adhered to.
Conduct exit interviews for all terminated employees.
Ensure all off-boarding paperwork is completed/submitted including COBRA.
Ensure compliance with labor law postings in each office and order new postings as needed.
Assist with the preparation of reports and material in line with federal and state guidelines and submissions.
Participate in HRIS database testing (new Modules and bi-annual updates/releases) as needed.
Manage and maintain accurate employee records and data within Workday.
Assist with the preparation and distribution of Engagement Survey reports.
Maintain CPR and AED certifications for the company every 2 years, or as required by applicable law through collaboration with external vendor.
Respond to general HR related inquiries from internal colleagues in our HR email inbox in a timely manner. Inquiries may include questions relating to employee health benefits, leave of absence requests and other time off inquiries, engagement survey inquiries, assistance with logging into and updating personal information in the Workday system, and more.
Perform other duties as assigned.
IDEAL EXPERIENCE
Basic Qualifications
Knowledge of Federal and State laws and regulations as they pertain to employee benefits
Ability to build relationships, communicate effectively and collaborate with others
Proven analytical and problem solving ability
Proficient with Microsoft Office Suite or related software.
Excellent verbal and written communication skills. Fluent in English (written & spoken).
Excellent attention to detail and time management skills with a proven ability to meet deadlines.
Ability to multi-task and effectively balance and prioritize workload.
Professional maturity to handle confidential information.
Preferred Qualifications
Previous Workday experience.
Additional language skills (outside of English) will be an advantage.
