Your Opportunity

We are looking for an experienced Executive Assistant to provide administrative support to leadership at DC Water and Stantec. The selected candidate will further support a large, diverse team of professional staff in an exciting, fast-paced environment dedicated to providing high quality water services in a safe, environmentally friendly, and efficient manner. This position will be located full-time, on-site at DC Water, 5000 Overlook Ave SW, Washington, DC 20032 during regular business hours

Your Key Responsibilities

  • Provides administrative support by managing schedules and calendars.

  • Prepares correspondence including reports and presentations.

  • Arranges meetings, prepares and distributes agenda items, takes meeting minutes and tracks minutes for follow up times.

  • Coordinates logistics for any events and meetings, including food ordering, space planning and coordination with Security as needed for visitors, etc.

  • Maintains office equipment, coordinating with DC Water support staff and vendors/suppliers as required

  • Supports, coordinates and helps implement safe workplace practices

  • Supports, coordinates and collaborates on special projects.

  • Reviews, evaluates and distributes priority correspondence.

  • Creates, collects, stores, organizes, tracks and distributes documents.

  • Coordinates new hire onboarding activities.

  • Responsible for SharePoint organization and upkeep.

  • Completes expense reports, timekeeping updates and other related administrative functions.

  • Performs other administrative duties of a similar nature and level as assigned to assure program functions run smoothly.

Qualifications

Your Capabilities and Credentials

  • Excellent written, verbal and interpersonal communication skills.

  • Demonstrates strong technical editing skills.

  • Experience supporting operations in a professional services firm is preferred.

  • Strong multi-tasking skills with the ability to prioritize, organize multiple concurrent assignments and meet deadlines.

  • Ability to work effectively under pressure in a fast-paced environment.

  • Customer service oriented.

  • Ability to maintain discretion and confidentiality at all times.

  • Strong knowledge of office procedures and practices.

  • Resourceful and flexible. Willing and able to take initiative when needed.

  • Excellent analytical and problem-solving skills.

  • Advanced knowledge in MS Office Suite (Excel, PowerPoint, Word, etc.).

  • Familiarity with Microsoft Access is preferred.

  • Familiarity with Power BI is preferred.

  • Experience with SharePoint is preferred.

Education and Experience

  • Degree/diploma/certificate or equivalent in related field; or equivalent combination of education and experience.

  • Minimum of 5 years of relevant work experience.

Pay transparency laws require employers to provide the following information for positions that may be in the following jurisdiction(s):

Salary Range(s):

  • $28.37 Per Hour - $39.71 Per Hour Min/Max Pay Range for postings located in WA and DC

The final agreed upon compensation is based on individual education, qualifications, experience, and work location. At Stantec certain roles are bonus eligible.

Benefits Summary: Regular full-time and part-time employees have access to medical, dental, and vision plans, a wellness program, health saving accounts, flexible spending accounts, 401(k) plan, employee stock purchase program, life and accidental death & dismemberment (AD&D) insurance, short-term/long-term disability plans, emergency travel benefits, tuition reimbursement, professional membership fee coverage and paid family leave. Regular full-time and part-time employees will receive ten paid holidays in each calendar year. In addition, employees will be eligible to accrue vacation between 10 and 20 days per year and eligible for paid sick leave (and if more generous, in accordance with state and local law).

Temporary/casual employees have access to 401(k) plans, employee stock purchase program, and paid leave, in accordance with state and local law.
