Your Key Responsibilities
Provide daily administrative support to the Learning & OD and HR teams.
Manage the learning mailbox – the main point of contact for all training queries throughout the organization – with a focus on customer and client service. Common items include but are not limited to: - Assistance with Stantec’s learning management systems and dashboards.
General questions about training courses.
Processing attendance sheets and course withdrawals.
Assigning training.
Providing reports and other data.
Uploading external certifications.
Respond to and manage tickets routed to the team from the IT and HR service centers.
Reply to tier 2 emails and tickets that require deeper systems knowledge and customer support skills.
Answer questions from tier 1 support administrators to help them successfully resolve queries and tickets.
Assist the L&OD Systems Manager & L&OD Support Team Leader with the training of new team members in Pune.
Provide training on our learning management systems and dashboards to staff.
Support the Learning & OD teams with any required integration activities (stemming from company acquisitions, system migrations, etc.).
Set up training sessions and course offerings and support our external training recordkeeping program in Stantec’s learning management systems.
Provide administrative support to groups in the organization who run specific training programs (e.g., project management, leadership, professional training, etc.).
Manually create, maintain and deactivate training accounts when required.
Attend and participate at regular team meetings.
Your Capabilities and Credentials
Excellent and demonstrable written and verbal communication skills are critical.
Strong customer focus with exceptional customer service skills.
Previous experience supporting a learning management system or similar online platform required.
Solid understanding of MS Office, particularly Outlook & Excel.
Strong problem solving skills for resolving complex queries and system issues
Previous experience mentoring or training junior staff
Willingness to learn new technologies and adapt to evolving business needs
Ability to demonstrate sound judgement and work independently with minimal supervision.
Demonstrates patience and remains calm under pressure, consistently delivering thoughtful support even in challenging or high-volume situations.
A self-starter with a can-do attitude and willingness to take on multiple tasks and projects.
Excellent organizational skills.
Education and Experience
3 or more years’ experience in an administrative or similar systems administration role
High school diploma required.
The candidate should possess good Excel skills and some experience with Oracle HCM Cloud.
