Position Summary
Responsibilities
- Proactively maintain calendars, contacts and tasks (primarily done through Microsoft Office); schedule and coordinate internal and external meetings and events, including tracking attendance, registering and greeting guests, ordering, setting up and taking down catering in meeting rooms.
- Produce, review, edit and complete expense reimbursement reports (which can involve appropriate foreign currency conversions) primarily using Concur; work with AP for timely payments and track reimbursements.
- Organize and maintain on-going records (off-line and on-line) regarding project files, trade periodicals, reports, events and portfolio company records.
- Coordinate with other Carlyle offices / JV partner offices for documentation execution and distribution (this involves coordinating the execution of legal docs between the DC office and NY office and/or between the NY office and our JV partners).
- Perform general administrative and office tasks including, but not limited to, preparing correspondence, file organization, data entry, maintaining contact lists and process documents, archiving and preparing and printing pre-meeting materials for review, assist with moderate printing, copying, filing and mailing.
- Assist and backup other Executive Assistants in US Real Estate as needed.
- Process vendor payments, processing legal bill payments and assist with wire payment request.
- Collaborate with IT (in a remote office) to ensure that audio/visual components are set up and functional in advance of meetings.
- Coordinate complex and ever-changing domestic and international travel arrangements, which include flights (commercial and private), hotel reservations, car service, internal and client meetings, and events, etc. This also includes checking managers into flights, tracking flights (and weather), and troubleshooting travel problems, if they arise, including after hours or on weekends, as needed.
- Order supplies for the office and retrieve guests/deliveries from office reception.
- Assist with special projects and internet research as needed; proactively anticipate work assignments whenever possible.
- Maintain confidentiality of all sensitive and confidential issues.
- Other reasonably related duties as assigned.
Qualifications
- Bachelor’s degree strongly preferred
- At least 7 years of experience in a professional, corporate environment supporting senior professionals required
- Proficient with Concur
- Excellent Microsoft Office Skills (including Outlook, PowerPoint, Word, and Excel)
- New York Notary License, required or must be obtained within first 4 months of employment
- Willingness to work in the NY office at least four days each week (with flexibility when needed on Fridays)
- Strong computer and Internet research skills
- Self-starter with excellent anticipation skills; problem solving; follow up; see tasks through to completion
- Ability to learn new technology
- Ability to multitask: Able to juggle multiple and changing priorities; Candidate should be able to prioritize and complete tasks assigned from multiple stakeholders
- Strong organizational skills and attention to detail
- Ability to work independently with strong follow-through skills
