Position Summary
Responsibilities
- Manage complex, high-volume calendars across time zones, anticipating conflicts and proactively resolving scheduling issues.
- Coordinate internal and external meetings, including attendee tracking, visitor logistics, catering arrangements, and conference room preparation.
- Maintain accurate contact databases and task tracking systems.
- Coordinate complex and ever-changing domestic and international travel arrangements, including multi-leg itineraries, ground transportation, dinner reservations, and meeting/event logistics.
- Serve as point of contact for real-time troubleshooting of travel disruptions, including after-hours and weekend support as needed.
- Research and recommend venues and vendors for meetings, events, offsites and conferences; manage registration, attendance, and follow-up communications.
- Maintain organized digital and physical filing systems for confidential documentation and sensitive materials.
- Oversee the preparation, editing, formatting, and finalization of critical business documents including correspondence, reports, and presentations.
- Assist with meeting coordination, including the preparation, printing and binding of materials as needed.
- Submit and reconcile expense reports in Concur, including currency conversions; collaborate with Accounts Payable to ensure timely reimbursements.
- Manage subscriptions to publications, coordinate conference registrations and business organization memberships.
- Maintain accurate records of team PTO and submit monthly leave details on firm systems.
- Submit and track invoices; onboard vendors and create new project entries.
- Assist with phone coverage, including answering incoming phone calls and taking messages.
- Liaise with reception, facilities, and IT to ensure meeting and guest logistics are executed flawlessly.
- Provide assistance with copying, filing, and general office operations.
- Support local deliveries, printing, and supply procurement as needed.
- Provide occasional internet research support upon request.
- Assist with a wide range of ad hoc projects, including light personal assistant tasks, as assigned.
Qualifications
- Bachelor’s degree strongly preferred.
- Minimum 7–10 years of experience supporting senior executives in a corporate environment.
- Excellent Microsoft Office Skills (including PowerPoint, Word, and Excel).
- Proficient in Concur; familiarity with CRM systems a plus.
- Willingness to work in the NY office at least four days each week (with flexibility when needed on Fridays).
- Highly organized and detail-oriented, with excellent follow-through.
- Proactive, resourceful, and able to anticipate needs in a dynamic environment.
- Calm under pressure with strong time management and multitasking skills.
- Exceptional verbal and written communication skills.
- Discreet, professional demeanor with the ability to maintain strict confidentiality.
