We are seeking a highly organized, discreet, and proactive Executive Assistant to support our C-suite executives based in Miami. This is a hybrid role, with 4 days per week based in the Miami office and 1 day per week working from home. The successful candidate will provide high-level administrative, organizational, and coordination support to executives managing international clients, airline relationships, investors, legal advisers, technical teams, and finance partners.
The role requires excellent judgment, strong communication skills, attention to detail, and the ability to manage competing priorities across multiple time zones.
The individual will principally be supporting Alexander Rasnavad, Partner and President of Carlyle Aviation Partners as well as two to three additional executives. The principal responsibility of this position is to provide executive administrative support to members of Carlyle Aviation Partners which includes two Managing Directors and one Partner., which may be amended from time to time.
Responsibilities
Primary Responsibilities
Executive Support
- Manage complex calendars, meetings, calls, and travel schedules for the C-suite.
- Prepare meeting agendas, briefing materials, presentations, and follow-up action lists.
- Act as a professional first point of contact for executives, handling confidential matters with discretion.
- Assist with Zoom & Microsoft Teams (Video and/or audio) meetings.
Travel and Logistics
- Arrange domestic and complex international travel, including flights, hotels, ground transportation, visas, itineraries, and expense reporting.
- Support travel planning across multiple time zones, often at short notice.
- Coordinate logistics for conferences, aviation events, board meetings, investor meetings, and client visits.
- Create, review, and complete expense reimbursement reports, including accumulating supporting documentation and reconciling travel expenses charged to corporate AMEX accounts, primarily using Concur; work with AP for timely payments and track reimbursements.
Administrative and Office Coordination
- Draft, proofread, and format correspondence, reports, presentations, and documents.
- Maintain filing systems, contact databases, board packs, transaction documents, and key records.
- Process invoices, purchase orders, expenses, and vendor documentation where required.
- Liaise with the wider office administration team to support smooth day-to-day operations.
Stakeholder Management
- Communicate professionally with senior internal and external stakeholders.
- Build strong working relationships with global colleagues, advisers, clients, and service providers.
- Maintain confidentiality when handling sensitive commercial, financial, legal, and personnel information.
Project and Transaction Support
- Provide administrative support for aircraft leasing transactions, refinancing, aircraft deliveries, redeliveries, and portfolio management activities.
- Track deadlines, signatures, approvals, documentation status, and meeting follow-ups.
- Support special projects, corporate initiatives, events, and executive reporting as required.

Education & Certificates
- Bachelor’s degree is strongly preferred.
Professional Experience
- as an Executive Assistant, Personal Assistant, or senior administrative professional.
Competencies & Attributes
- Willingness to work in the office for a minimum of four days each week
- Strong organizational skills and ability to prioritize multiple tasks seamlessly with attention to detail
- High level of confidentiality, discretion, and professionalism.
- Excellent interpersonal skills, with the ability to communicate effectively and build relationships at all levels of the organization.
- Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and other
- office tools.
- A proactive problem solver, able to work independently and take initiative.
- Spanish language skills would be advantageous but are not required.
- Polished, professional, and confident.

Benefits/Compensation
The compensation range for this role is specific to Miami and takes into account a wide range of factors including but not limited to the skill sets required/preferred; prior experience and training; licenses and/or certifications.
The anticipated base salary range for this role is $80,000 to $95,000.
In addition to the base salary, the hired professional will enjoy a comprehensive benefits package spanning retirement benefits, health insurance, life insurance and disability, paid time off, paid holidays, family planning benefits and various wellness programs. Additionally, the hired professional may also be eligible to participate in an annual discretionary incentive program, the award of which will be dependent on various factors, including, without limitation, individual and organizational performance.
