Who we’re looking for
Toyota’s Business Planning & Innovation Department is looking for a passionate and highly-motivated R&D Events & Team Member Engagement Specialist.
The primary responsibility of this role is to develop and manage on-site and off-property team member events, business meetings, and VIP visits for R&D and Michigan sites. In addition, you'll be expected to provide guidance to groups preparing large divisional or department events.
Reporting to the Senior Manager, the person in this role will support the Business Planning & Innovation department's objective to enable R&D to achieve our strategic vision and goals, fostering and engaging Team Members in a culture that embodies the Toyota Way.
What you’ll be doing
Develop comprehensive project plans, event concept and design, and resource-map for each event (e.g., Site Selection, Vendor Sourcing, Activities and Entertainment, IS and Security needs).
Lead event set-up and logistics day of events, including Agenda or ”Run of Show”, invitations, registration, attendee management, rehearsals, tour routing, hotel accommodations, ground transportation, room set-up, catering & menu planning, and post event survey.
Manage overall budget for events and relationships with key vendors and stakeholders (e.g., CSS, TMNA Security, Aramark, DFM, etc.).
Create and maintain annual team member events strategy and approvals, annual budget development for events & business meetings, and events storage spaces including regular 5S and stocking supplies.
Consult with other departments and support (as needed) divisional and department events.
Create event planning guides, checklists, and self-service tools.
Demonstrated ability to work in a team environment and collaborate with parties across the company.
Strong verbal, written, visual communication skills are key.
What you bring
Associate’s degree (Bachelor's degree or higher preferred) AND/OR commensurate experience.
Proven industry related experience.
Demonstrated project management experience especially in event planning.
Management experience including VIP and vendor management.
Demonstrated ability to self-manage event preparation and coordination across divisions.

Knowledge of Toyota operations & processes.
Problem solving experience with completed TBP.
Contract negotiation.
Budget forecast & tracking.
Related marketing and communications experience.
Knowledge of regional off-property venues and related stakeholders.
Event industry standards.
