We are seeking an experienced and strategic Team Business Manager to streamline and enhance our internal operations, ensuring efficiency and collaboration across all aspects of the team. This role will oversee process optimization, task/project coordination, and execution of business initiatives, enabling our advisors and relationship managers to focus on delivering an outstanding client experience. It will also include hiring, onboarding, and training; employee performance management, compensation, culture and employee relations.

Operational Efficiency & Process Optimization

• Implement and manage a task and workflow management system to improve team productivity.
• Design and maintain a client service matrix, ensuring seamless client interactions and clear internal roles.
• Continuously assess and enhance firm processes, identifying opportunities for automation and efficiency.

Team & Calendar Management

• Oversee and optimize partner and team meeting schedules, ensuring time is allocated effectively.
• Coordinate internal meetings, including agenda planning, follow-ups, and action tracking.
• Develop a system to track goals and key performance metrics across the firm.

People & Performance Management

• Support team development through clear role definitions, accountability measures, and structured check-ins.
• Assist in compensation planning and performance evaluations to align incentives with firm goals.
• Foster a collaborative culture where clients feel the strength of the entire team, with seamless handoffs and shared expertise.

Client Service & Experience Enhancement

• Ensure all client interactions reflect our commitment to excellence and consistency.
• Support the partners in case management, ensuring multiple team members can step in seamlessly for any client.
• Act as a key liaison between teams to maintain high-touch, high-efficiency client service.

Marketing & Business Development

• Maintain marketing materials, website, LinkedIn presence
• Oversee COI relationships
• T&E and business travel
• Develop and manage client appreciation programs, events, and exclusive experiences.
• Oversee digital engagement strategies, including email campaigns and newsletters, to keep clients informed about market trends and firm updates.
• Identify opportunities to expand the firm’s client base through referrals, strategic partnerships, and lead generation efforts.
• Work with advisors to optimize client acquisition processes, ensuring marketing efforts align with the firm’s brand and target audience.
• Analyze firm performance data to identify areas for revenue growth, service expansion, and process improvement.
• Collaborate with leadership to explore M&A opportunities, advisor recruitment, or new service offerings to enhance the firm’s market presence.

• 5+ years of experience in business operations, practice management, or a similar role within financial services.

• Strong understanding of wealth management operations, including client service models and compliance considerations.
• Expertise in project management, process improvement, and technology solutions for professional services firms.
• Excellent leadership, communication, and organizational skills to drive efficiency and collaboration.
• Ability to think strategically while executing tactically, balancing big-picture vision with daily operations.
