We’re looking for a dynamic and tech-savvy Management Support Officer to join our Global Investments Business Management team. This team supports the Investments function globally, collaborating with executive assistants in our regional hubs to deliver high-quality administrative support and drive operational consistency. This role goes beyond administrative support responsibilities — we want are looking for someone who thrives on efficiency, embraces innovation, and is excited to make a real impact by optimizing how our team works.
You’ll be the go-to person in Poland for executive support, process improvement, and operational excellence. If you love solving problems, automating workflows, and keeping things running smoothly, we want to hear from you!
Key responsibilities:
• Administrative Support: Calendar management, meeting scheduling, agenda preparation, logistics coordination, email communications, travel booking, expense processing, and gifts and entertainment tracking.
• Operational & Technical Tasks: Workforce planning, employee onboarding and offboarding initiation and tracking, organizational unit maintenance, HRi updates, system administration and support, MDS request management, BBS resource ownership, and liaison with teams across the global Investments organization.
• Process Optimization: Identify opportunities to standardize and automate repetitive tasks and workflows, troubleshoot issues, and solve problems proactively. Leverage tools like Microsoft Copilot, SharePoint, and Teams to improve speed and accuracy.
• Communications & Collaboration: Prepare internal communications, coordinate training sessions, maintain and update organizational charts, and support cross-team and project collaboration. Act as a culture champion by organizing team events, celebrations, and engagement initiatives.

Your team
You will be joining the Investments Business Management team which supports the Asset Management Investments function globally, across Active Equities, Active Fixed Income, Active Multi-Asset, Portfolio Engineering and Trading, Partnership Solutions, Sustainable Investing, and Investments Management. The team in Poland will serve our global function, working collaboratively with the Executive Assistants based in our regional hubs, including Zurich, London, New York, Chicago, and Hong Kong. This is an exciting opportunity to help reshape management support globally, whilst supporting the build out of our Investments function locally in Poland. You’ll be working in a dynamic, international environment with opportunities to grow and innovate.
Your expertise
- proven experience as an Executive Assistant or similar management support role in a global or matrixed organization.
- strong technical skills — confident using Microsoft 365, automation tools, and collaboration platforms.
- experience in process standardization and automation.
- excellent organizational and time management skills.
- a collaborative mindset with a proactive, problem-solving attitude
- strong interpersonal and communication abilities.
- fluency in English; additional languages are a plus.
