Among the broad portfolio of activities in the GRESC Expense Specialist, we’re looking for a strong team player to play a crucial role in managing and overseeing employee travel and expense activities to ensure adherence to company policies and industry standards. You will assist in processing and auditing travel and expense claims, maintaining records, and collaborating with various departments to ensure smooth operations and positive end user support

Your team

Our GRESC Chief of Staff team is focused on driving top-priority business objectives and high performance, ensuring excellence and consistency in execution through reporting and delivery of organizational goals. In this versatile role, you will work in close partnership with our GRESC leaders and teams across the function, playing an important role in many facets of the broader business. As a global team, located in Poland, India and Switzerland we attach great importance to independent work, reliability, and helpfulness in addition to an open and collegial approach.

Your expertise

Key Responsibilities:
• Expense Reporting and Processing:
o Ensure timely approval and reimbursement of expenses, following internal controls and policies.
o Monitor and support expense data input into the company’s financial systems.
• Policy Compliance and Communication:
o Ensure adherence to company travel and expense policies, providing support to employees regarding compliance and policy queries.
o Advise employees on best practices for submitting expenses and using the company’s travel systems.
• Ad-hoc data Analysis:
o Maintain and update records of travel and expenses, ensuring accuracy and completeness.
o Assist with month-end and year-end closing procedures related to T&E.
• Auditing and Internal Controls:
o Perform periodic audits of travel and expense reports to ensure compliance with both internal policies and external regulations.
o Assist in addressing any discrepancies or issues found during audits.
• Customer Service:
o Serve as the point of contact for employee queries regarding travel bookings, expense submissions, and policy questions.
o Provide training or guidance to employees regarding the company’s T&E systems and procedures.
• Process Improvement:
o Identify opportunities for improvements in the T&E process, aiming to enhance efficiency, cost-effectiveness, and user experience.
o Work with relevant teams to streamline workflows, automate processes, and implement new tools.


Skills & Qualifikation:
• Education:
o Bachelor’s degree in Finance, Accounting, Business Administration, or a related field (or equivalent work experience).
• Experience:
o Previous experience in travel and expense management, finance, or related administrative roles is highly preferred.
o Familiarity with expense management software (e.g., Concur, SAP, or similar platforms) is a plus.
• Skills:
o Strong attention to detail and organizational skills.
o Excellent communication skills, with the ability to assist employees and stakeholders with clarity.
o Proficient in Microsoft Office Suite, including Excel to support and facilitate data reviews relevant for expense management oversight.
• Knowledge:
o Understanding of corporate travel policies, expense guidelines, and regulatory compliance requirements.
o Knowledge of finance or accounting principles is beneficial.
• Personal Attributes:
o Strong problem-solving skills and the ability to handle multiple priorities.
o Proactive, with the ability to work independently and in a team-oriented environment.
o Ability to maintain confidentiality and handle sensitive financial information.
