This position will collaborate closely with the client-facing business development team, technical teams, and internal-facing shared services teams, such as Sales Operations and Business Operations.

What You’ll Do
Existing Client Administration (40%)
- Client Relationship Management: Support business development team leaders with administrative requests for all existing clients, maintaining initiative-taking and professional communication to address any inquiries or issues.
- Prequalification: Serve as the primary administrator for all matters related to prequalification. This includes coordination with our Corporate Controls, Legal, and other teams to prepare and submit the required documentation and manage the annual audits.
- Contract and Order Processing: Oversee the general administration of client contracts and purchase orders, ensuring timely processing, documentation, and compliance with internal procedures. Gather business information such as insurance forms, W-9, Safety information, etc.
- Data Management: Maintain accurate and up-to-date client records in the CRM system. Monitor client bidding websites and download bidding documents.
- Client Reporting and Updates: Prepare regular client status reports and provide updates to key stakeholders on the administrative health of contracts and agreements, including audits and items such as contract renewal and expiration dates.
- Support for Sales Opportunities: Identify and assist in developing additional opportunities within existing accounts, including upselling and cross-selling strategies.
Forecasting Data Integrity and Excellence (35%)
- Data Collection and Validation: Collaborate closely with business development leadership to gather, validate, and ensure the accuracy of forecasting data, keeping it updated across all systems.
- Reporting and Dashboards: Generate comprehensive reports and interactive dashboards that track performance metrics, identify trends, and provide actionable insights for decision-makers.
- Risk and Opportunity Identification: Analyze sales data to identify trends, risks, and opportunities, providing valuable input for adjusting forecasts and strategy.
Analysis and Best Practices Research (25%)
- Research: Conduct research on industry trends and best practices in administrative and sales processes in our field. Gather background information on prospective clients for meeting preparation and business development.
- Reporting: Develop comprehensive reports that outline findings and present them to internal stakeholders to support administration and sales strategies.
- Additional duties may include tasks beyond what is listed, such as special projects, assisting colleagues, or new initiatives. A willingness to adapt to changing priorities and support team efforts enhances collaboration and growth opportunities.
What We Expect from You
- Bachelor’s degree in Business, Public Administration, Data Analysis, or a related field.
- 3+ years of experience in sales administration, analysis, or a related field, preferably at a professional services firm.
- Strong proficiency in CRM software and data analysis tools (e.g., Excel, Tableau, or Power BI).
- Proficiency with Microsoft Office Suite, including Microsoft Outlook, Microsoft Word, Microsoft Teams, and Microsoft Excel.
- Excellent organizational skills, initiative-taker capabilities, and diligence.
- Excellent written and verbal communication skills with a focus on quick and effective responsiveness.
- Ability to collaborate in a matrixed, cross-functional organization.
- Preferred to have experience with continuous improvement principles like lean and/or Six Sigma.
- Preferred to have experience in a similar industry, such as renewables, transportation, water, or power.
- Ability to work in a hybrid mode schedule; 3 days in the office, 2 days from home.
- Must possess strong verbal and written English communication skills (CEFR level B2–C1). You should be comfortable articulating complex ideas and collaborating effectively within a global professional environment.
- Must have authorization to work legally in Costa Rica for any employer.
