Description
The Facilities Manager is responsible for overseeing the operations, maintenance, and strategic management of the organization’s workplace infrastructure. This role ensures the delivery of a safe, efficient, and high-quality workplace environment that supports business operations and employee experience. The position leads vendor management, workplace services, infrastructure maintenance, and compliance initiatives while ensuring alignment with global corporate standards. The Facilities Manager partners closely with corporate real estate teams, workplace experience teams, and local leadership to ensure the facility operates effectively and meets the evolving needs of the organization.
Job responsibilities:
1. Facilities Operations
· Oversee the day-to-day operations of the office facility including housekeeping, security, pantry services, and general maintenance.
· Ensure all workplace infrastructure is maintained to corporate standards and supports business continuity.
· Coordinate with building management and landlords on infrastructure issues and building services.
2. Vendor and Contract Management
· Manage third-party vendors responsible for facility services including housekeeping, security, maintenance, and workplace services.
· Monitor vendor performance against service level agreements (SLAs).
· Oversee vendor onboarding, contract renewals, and service reviews
3. Maintenance, Infrastructure and Asset Management
· Ensure preventive and corrective maintenance of building infrastructure including HVAC, electrical systems, plumbing, lighting, and other facility systems.
· Coordinate repairs and maintenance to minimize operational disruption.
· Maintain documentation related to equipment servicing and infrastructure maintenance
· Oversee the management of workplace assets including furniture, fixtures, and office equipment.
· Maintain asset records and coordinate procurement or replacement when required
4. Workplace Planning and Operations
· Manage workspace planning, seating allocation, and office move coordination.
· Support employee onboarding by ensuring workspace readiness.
· Partner with leadership teams to support events, leadership visits, and internal initiatives
5. Health, Safety and Compliance
· Ensure compliance with applicable workplace safety regulations and internal corporate policies.
· Coordinate fire safety drills, emergency preparedness exercises, and safety audits.
· Maintain regulatory and compliance documentation including safety certifications and inspection records.
6. Budget and Cost Management
· Manage the facilities operating budget including vendor costs, utilities, and service expenses.
· Review vendor invoices and ensure timely processing and cost accuracy.
· Identify opportunities to optimize facility costs while maintaining service standards
7. Employee Workplace Experience
· Serve as the primary point of contact for facility-related employee issues and requests.
· Partner with HR and workplace teams to ensure a positive and productive work environment.
This position is offered on local terms and conditions. Expatriate assignments and sponsorship for employment visas, even on a time-limited visa status, will not be awarded. This position is for United Airlines Business Services Pvt. Ltd - a wholly owned subsidiary of United Airlines Inc.
Qualifications
What’s needed to succeed (Minimum Qualifications):
Bachelor's degree
15 years or more years of Facilities experience
Exceptional verbal and written communication skills with a strong emphasis on customer service orientation
Excellent time management, follow-through & organizational skills
Strong communication and ability to build relationships with all levels of personnel required
15 years of experience in Facilities Management, Corporate Real Estate, or Workplace Operations.
Experience managing facilities in a corporate office or Global Capability Center environment
Demonstrates strong ownership of workplace operations and service delivery.
Builds collaborative relationships with internal teams and external vendors.
Proactively identifies opportunities to improve workplace efficiency and employee experience.
Maintains high standards of safety, compliance, and operational excellence.
Proficient in English
What will help you propel from the pack (Preferred Qualifications):
Master's degree
Facilities Management, Engineering, Business Administration, Hospitality, or related field.
Experience managing large corporate office facilities (>50,000 sq. ft.).
Familiarity with workplace technology platforms or facilities management systems.
Exposure to global corporate workplace standards.
