The Documentation Manager is a leader of people who manages documentation team and ensures it success in all Documentation efforts. This supervisor develops people and enables processes to produce effective documentation solutions. This supervisor is a coach, a facilitator, a results catalyst and sees the big picture, seeing upstream and downstream effects of the work produced by his/her team. This leader is a partner and collaborator with other Managers, delivery teams, planning teams, business support areas and more. This leader challenges the team promoting innovation, creativity and productivity.
The Documentation – Team Manager/ Supervisor will embrace this exciting opportunity to lead change to the way in which we promote documentation efforts. The Documentation – Team Manager/ Supervisor will consult with Onshore OGS liaison, onshore SMEs, Managers and Business Partners on the design, development, execution and measurement of documentation projects and inventory to support our operations business partners.
Primary Responsibilities:
- Documentation intake and demand prioritization (estimating and scheduling of project management and documentation resource pool). Also, manage the assignment of Magellan inventory to team members. Manages inventory and ensures equal distribution of work
- Reviews SOPs to ensure they meet the quality standards and report status. Does audits monthly to report on progress of team members
- Create training intervention for high quality documentation, work with team to improve business partner feedback and adherence to BP specifics and quality standards
- Defines Documentation objectives. Performance Management of the team members, 1:1 monthly goal sheet discussions and feedback
- Participates in the planning, development, and evaluation of Documentation efforts. Work with business areas to manage the projects for Documentation, identify documentation opportunities and resolve conflicts to successfully implement projects
- Leads and develops team to produce effective, high quality programs while being a coach, a mentor, a facilitator
- Promotes engagement within teams, across teams and for individuals
- Proactively manage task assignments or documentation projects to due dates, and report status
- Organize and facilitate meetings to review, resolve conflict with, and/or approve documentation, and report status
- Builds collaborative partnerships with peers, others in Learning Solutions and with business partners
- Builds strategic roadmap for larger scale projects and forecasting on documentation capabilities
- Identifies, analyzes, and fixes language and documentation related defects
- Attends quality review and proficiency meetings
- Understands writing standards and coaches the team to implement the standards
- Manages large projects and ensures all the client requirements are met
- Creates primary and contingency plans, which ensures deadlines are met
- Comply with the terms and conditions of the employment contract, company policies and procedures, and any and all directives (such as, but not limited to, transfer and/or re-assignment to different work locations, change in teams and/or work shifts, policies in regards to flexibility of work benefits and/or work environment, alternative work arrangements, and other decisions that may arise due to the changing business environment). The Company may adopt, vary or rescind these policies and directives in its absolute discretion and without any limitation (implied or otherwise) on its ability to do so
Required Qualifications:
- 5+ years SOP/ Process instruction writing experience. (SOPs/ Job Aid’s/Policies and Procedures)
- 3+ years effectively managing teams or as a Subject Matter Expert in Documentation
- Proven management experience leading teams, preferably in a virtual environment
- Knowledge of current trends and technology to support documentation needs including tools such as MS – Visio, Sharepoint Designer, HTML editors, Visual Studio Code, Dreamweaver, SnagIt, MS – Word etc.
- Proven ability leading teams to produce quality results using rapid development models and tools
Preferred Qualifications:
- Bachelor’s degree or higher in applicable field of instructional design, documentation and technology. Equivalent bachelor’s degree combined with work experience will be considered
- BA in English or other communications-based program
- Experience with incorporating multiple media elements in to Documentation including audio, video, or different technologies
- Familiarity with APA Guidelines, Technical Communications
- Familiarity with health care or operations, business documentation, and technical writing
- Proficient computer skills in MS Word, Visio, Excel, PowerPoint and HTML coding, any HTML editor or tool experience
- Proven solid analytical skills, attention to detail, problem-solving and fact-based decision making abilities. Strategic thinking abilities and an enterprise-wide perspective
- Generally, work is self-directed and not prescribed. Proven ability to work with less structured, more complex issues
- Proven ability to serve as a resource to others
