Job Summary

This position serves as a resource for the Dean's Office, requiring professionalism and collegial behavior as it involves daily interactions with deans, faculty, staff, students, alumni, and visitors. The role plays a critical part in ensuring seamless daily Dean’s Office operations, fostering impactful engagements with constituents, and upholding the high standards of the office environment. This position supports the executive assistants in the Dean’s Office and also assists with faculty recruiting.

Responsibilities

  • Facilitates logistics for faculty candidate visits as part of the faculty recruiting process.
  • Manages and reconciles expenses, including those related to faculty recruiting, office operations, and miscellaneous functions.
  • Assists with sensitive faculty correspondence to ensure confidentiality and accuracy in matters related to tenure appointments and salaries.
  • Manages daily office operations as the first point of contact for the Dean's Office, ensuring an exceptional and welcoming experience for all visitors.
  • Proactively assesses office supply requirements, oversees the upkeep of the physical office space, and maintains a high-quality work environment.

  • Facilitates seamless guest interactions through in-person, phone, and email contact, while evaluating visitor feedback to implement improvements to the overall experience.
  • Supports visitors by directing them to appropriate offices and departments when needed.
  • Manages access and scheduling for secured office spaces, including conference rooms, to ensure effective use of resources.
  • Serves as backup support for Executive Assistants, including managing calendars and coordinating meetings for the Dean and Deputy Deans during absences.
  • Coordinates changes to candidate schedules and ensures clear communication with relevant groups.
  • Provides high-level support for special projects, delivering timely results with professionalism.
  • Assists with special projects as they arise.
  • Provides in-person coverage and office presence during regular business hours.
  • Contributes to special projects through effective planning, execution, and timely delivery.
  • Arranges and oversees catering orders for meetings involving faculty, staff, students, and donors.
  • May initiate correspondence and other written materials under own signature or for signature of the leader. Triages emails and telephone calls for action. Resolves a combination of some routine and complex inquiries.
  • Prepare special reports and summaries, assists in managing daily operation of the office, and may assist in developing administrative goals and policies. Maintains the leader's calendar.
  • Coordinates special projects as directed by the leader. Prepares write ups for recommendations for operational and administrative problems. Manages a portion of the leader's budget, monitoring and reconciling accounts. Prepares financial and/or administrative reports.
  • Performs other related work as needed.


Minimum Qualifications

Education:

Minimum requirements include vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree).


Work Experience:

Minimum requirements include knowledge and skills developed through 5-7 years of work experience in a related job discipline.

Education:

  • Bachelor’s degree.

Experience:

  • At least one year of progressively responsible administrative experience.
  • Background in a higher education setting.
  • Handling multiple tasks and projects simultaneously, setting priorities and streamlining processes, while meeting strict deadlines with frequent interruptions.

Technical Skills or Knowledge:

  • Proficiency in Microsoft Office (particularly with Word and Excel).

  • Proven ability to handle and prioritize multiple tasks simultaneously.
  • Proven organizational aptitude, attention to detail, and successful task and time management.
