Job Summary
The University of Michigan Office of the President is searching for a dynamic candidate with demonstrated ability in providing administrative support with attention to detail and accuracy, problem solving skills, with the ability to multitask in a high energy environment. The ideal candidate will possess the adaptability and composure to be successful in a dynamic office setting.
You will provide a variety of administrative support to the Executive Assistant to the President as well as support for other staff within the Office of the President. The Office of the President regularly interacts with senior leaders, faculty, staff, students, and donors across campuses, departments, colleges, and units. The work mode is expected to be on-site.
Responsibilities*
- Assist in providing administrative support, including the scheduling of meetings and preparation of background materials and agendas.
- Assist with various mail tasks including printing letters, envelopes, and filing incoming mail and gifts.
- Assist in coordinating travel arrangements and prepare itineraries and materials for the President.
- Prepare P-Card and hosting documentation for reconciliation and process travel reimbursements and expense reports.
- Perform diversified and confidential administrative duties requiring broad and comprehensive experience and knowledge of university policies and practices.
- Provide back up assistance for Front Desk Coordinator including phone coverage, hosting arrangements, daily mail processing and attending to emergent needs of the office.
- Perform other tasks as assigned.
Required Qualifications*
- Two or more years of experience performing administrative responsibilities. A bachelor's degree is desired, but candidates with an equivalent combination of education and experience will also be considered.
- Strong attention to detail, deadline management, and excellent organizational skills.
- Ability to exercise discretion, independent judgment, and confidentiality with a positive, professional, and service-oriented attitude.
- Superior interpersonal and communication skills are essential. Must be able to function productively and proactively in an ever-changing, high-stress, fast-paced professional environment.
- Ability to manage a large and diverse workload while demonstrating flexibility when faced with changing priorities and competing deadlines.
- Knowledge and experience with common office software and an openness to learning new tools as needed.
- Excellent work ethic and commitment to the mission of the university.
