Job Summary

We are seeking a reliable and professional Temporary Administrative Coordinator to provide front desk coverage and administrative support during a short-term assignment. The ideal candidate will be highly organized, courteous, and able to manage multiple responsibilities in a fast-paced environment while maintaining a welcoming and professional office presence.

Responsibilities*

  • Develop and refine a comprehensive policy and procedure framework informed by audit findings, enhancing existing processes and establishing clear documentation and controls to support consistent, compliant implementation by internal teams
  • Welcome and assist visitors in a professional manner, including offering refreshments, collecting and hanging coats, escorting guests to meeting rooms when appropriate, and promptly notify the appropriate staff of arrivals
  • Answer, triage or direct incoming phone calls
  • Manage incoming and outgoing mail, packages and deliveries
  • Prepare and maintain the President?s conference room in a meeting-ready condition between scheduled meetings
  • Coordinate hosting and catering arrangements for meetings and office events, including ordering food and overseeing the setup up and cleanup of meetings hosted by the President
  • Perform reception and office opening and closing procedures, including preparing coffee and maintaining cleanliness in the President?s kitchen and, as needed, the shared staff kitchenette
  • Assist with copying, scanning, and preparing documents for the President?s daily folder
  • Provide administrative support for preparation of background materials and agendas
  • Assist the EA to the President with travel arrangements, itineraries and related materials
  • Prepare P-Card and hosting documentation for reconciliation and process travel reimbursements and expense reports for EA to the President
  • Perform miscellaneous administrative duties as assigned
