Job Summary

In support of the College of Education, Health, and Human Services (CEHHS) Mission, Vision, and Strategic Priorities, the Administrative Assistant provides support in CEHHS with specific responsibility for the following:

  • Managing processes associated with the Lecturers Employee Organization (LEO) for CEHHS
  • Orchestrating logistics for CEHHS events
  • Managing all student employees
  • Supporting clinical experience placement processes


This position involves a high degree of detail, requiring the ability to work proactively in a dynamic environment, both independently and as part of a team, with initiative, creativity, organization, flexibility and critical thinking.

Responsibilities*

LEO Faculty Support;

  • Manage administrative processes for LEO bargaining unit faculty in compliance with the LEO Collective Bargaining Agreement including hiring and onboarding; annual, major, and continuing reviews including distribution of course evaluations; and appointment, reappointment, and layoff letters
  • Monitor and maintain effort allocation, workload tracking, and instructional assignments for LEO faculty for CEHHS.
  • Serve as a liaison between academic units, college administration, and central offices (e.g., Human Resources) regarding LEO-related processes and data requests.
  • Maintain master calendar for CEHHS including administrative due dates, LEO reviews, college events, and LEO faculty deadlines.


Event Planning;

  • Plan and/or assist with events for CEHHS.
  • Provide administrative and logistical support to CEHHS Academic Leadership for faculty searches, hosting, and college-wide events.


Student Employees;

  • Supervise all CEHHS student employees.
  • Manage hiring processes including onboarding new employees for the college.
  • Manage hiring processes for student/research assistants for faculty.
  • Liaise with other CEHHS units to assign workload
  • Publish calendar of students scheduled worktimes.

Clinical, Fieldwork & Partnership Support;

  • Provide administrative support for CEHHS field placement processes across existing and future programs, including internships, practicums, apprenticeships, student teaching, and emerging online or partnership-based experiences.
  • Assist with processing and tracking field placement applications, course overrides, and placement data using established systems and tracking tools.
  • Assist with routine communications, template updates, stipend process support, and shared inbox management.

Required Qualifications*

  • High school diploma or Associate degree
  • Minimum of 2-3 years of administrative experience
  • Strong work ethic
  • Excellent organizational skills including ability to manage multiple projects simultaneously
  • Exceptional communication and interpersonal skills
  • Proficiency with Microsoft Office and Google Workspace
  • Demonstrated ability to manage confidential information

  • Experience working with unions and collective bargaining agreements
  • Experience supporting administrative operations within higher education or related fields.
