The University of Virginia's Biomedical Sciences (BIMS) Graduate Programs Office is seeking a BIMS Administrator. The BIMS Administrator provides a high level of administrative support with student processes as well as guidance and encouragement for the students from the time they apply until they earn their degree. In conjunction with the respective Directors of Graduate Studies, the BIMS Administrator also works with the BIMS Team to support and coordinate events and activities related to the umbrella program under which the degree programs sit. The highly collaborative nature of this position requires the Administrator to juggle the priorities of many stakeholders (students, faculty, staff) while ensuring all priorities, assignments, and expectations are clearly communicated, understood, and expectations met.

The ideal candidate should be able to work independently and as part of a team and would have direct communication with students, staff, and faculty across the School of Medicine.

Job responsibilities include:

  • Coordinating application review, applicant interviews, communication, and logistics for our student admissions cycle
  • Supporting student events such as Graduation, Lab Coat Ceremony, and cohort meetings
  • Providing guidance and resources for students on a variety of areas
  • Serving as initial point of contact for students and faculty in their programs
  • Monitoring and overseeing students’ academic progress, registration, records, and academic milestones
  • Maintaining program operations budgets
  • Assisting with BIMS course modules and Core Course in Integrated Biosciences
  • Assisting with fellowship, award, and training grant applications
  • Other tasks, as assigned, to provide support to program leadership, the academic deans and other senior leadership for institutional needs

MINIMUM REQUIREMENTS

Education: Bachelor's degree. Relevant experience may be considered in lieu of degree requirement.

Experience: At least two years of experience.

Preferred Qualifications:

  • Experience in advanced academic program and fiscal coordination
  • Experience in an area such as admissions, student records (SIS, SAFM, Workday, Slate), and/or training grant administration
  • Experience working with a diverse community of students at the post-secondary level
  • Excellent written and verbal communication skills
  • Strong organization and problem-solving skills
  • Experience working both independently and in a small team

Preferred Skills: Competency in Microsoft Office 365 Applications (in particular: Excel, Word, Outlook, Teams, PowerPoint) and Zoom.

PHYSICAL DEMANDS
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.

*This is a hybrid position requiring and at least 3 days per week in the office.
