Executive Assistant to the Senior Vice President for Operations

The University of Virginia seeks applications for an Executive Assistant to support the office of the Senior Vice President for Operations (SVPO) on site with efficient and effective executive-level support in a professional, friendly, and courteous manner. The SVPO is responsible for supporting the University’s mission through oversight of the following University units that total nearly 2,500 staff: Office of the Architect; University Building Official; Business Services; Facilities Management; and Real Estate and Leasing Services. The Executive Assistant will report directly to the SVPO while providing administrative support to the Chief of Staff and to the other SVPO direct reports, as needed.
The Executive Assistant's administrative duties are advanced and diversified, requiring comprehensive experience, competencies, and knowledge of organizational policies and practices. This position requires exceptional levels of confidentiality, discretion, and business acumen. The successful candidate will perform administrative duties primarily including management of the SVPO’s calendar, scheduling and managing meetings, preparing daily briefing materials, drafting communications, planning occasional events, coordinating meeting and travel logistics, and processing reimbursements and other financial transactions. This role also assists with various special projects and administrative needs across the Operations portfolio, and regularly interfaces with internal and external constituencies including other University leadership offices and members of the Board of Visitors.
The SVPO needs the Executive Assistant to be present in the office a minimum of four days per week. The role requires an individual to be communicative, flexible, well organized, a self-starter, solution-oriented, and composed under pressure. The successful candidate must exhibit a high level of professionalism, have the ability to work both independently and collaboratively across the organization and University, possess the organizational savvy to understand business priorities and exercise discretion in handling confidential and sensitive information, and seek opportunities to expand, define, and develop the role. The successful candidate must also be able to handle multiple projects simultaneously while working in a fast-paced environment in which there are requirements for immediate turn-around, and proactively implement new tools and technology to fulfill responsibilities most effectively.
Minimum Qualifications
- Education: Bachelor's Degree or combination of education and related experience in lieu of a degree required
- Experience: 4+ years of relevant experience required
Preferred Qualifications
- At least 7 years of experience in an executive assistant or senior administrative role OR a Bachelor's degree and at least 4 years of work experience supporting a senior executive
- Proficiency in Microsoft Office suite applications and virtual programs such as Zoom, Teams, Google Meet, and WebEx
- Exceptional organizational and communication skills
- Ability to work independently with minimum supervision and apply appropriate discretion with confidential matters
- Strong interpersonal skills, sound judgment, and tact
- Ability to collaborate with colleagues and work effectively and in a professional manner with a wide range of diverse individuals at all levels
Physical Demands
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
Anticipated Hiring Range: $70,000 - $80,000, commensurate with relevant experience, skills, and demonstrated competencies.
