The School of Data Science at the University of Virginia invites applications for a Research Administrative Coordinator to provide essential administrative operational support to ensure the smooth functioning of research activities, communication, and special projects. This position will work closely with faculty, staff, and external partners under the direction of the SDS Office of Research leadership and in coordination with the administrative team across the organization. This is a non-exempt position.

Responsibilities:

  • Support calendaring and general administrative support of the SDS Research leadership.

  • Serve as a part of the general administrative core team to provide general administrative coordination to support operations, focusing on support of the Office of Research.

  • Arrange grant-related business travel, schedule meetings, and support agenda management and expense tracking for investigators as appropriate.

  • Manage purchasing for grant-related expenses.

  • Support research administration in scheduling meetings and gathering materials for grant proposal teams.

  • Assist in planning and logistics for research-related events, workshops, and seminars.

  • Facilitate communication of research opportunities and news.

  • Work with post-award to maintain calendars of reporting and closeout reminders for sponsored programs; reminds principal investigators and project directors of reporting deadlines.

  • Support grants managers with administrative tasks related to compliance, generating grant documents, and payments.

  • Contribute to special projects as needed.

Required Qualifications:

  • High school diploma and at least 3 years of relevant experience.

  • Ability to adapt and adjust to changes in work processes and environment.

  • Receptive to new ideas and accepts other perspectives.

  • Ability to handle confidential information with discretion.

  • Able to use cloud-based document management (Microsoft Office OneDrive, Box, Microsoft Teams) to share and collaborate with others.

  • Confidence in learning and exploring new technology tools and resources.

Preferred Qualifications:

  • Experience supporting research administration and/or grant management.

  • Bachelor’s degree preferred.

  • Familiarity with federal and foundation funding agencies (e.g. NSF, NIH).

Anticipated hiring range: $21.63-$26.44/hour equivalent to $45,000-$55,000 annually.

PHYSICAL DEMANDS:

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
