Position Summary
The ACGME Core Residency Program Coordinator is responsible for the operational, administrative, and accreditation support of the residency training program in compliance with Accreditation Council for Graduate Medical Education (ACGME) requirements. This role serves as a key liaison between residents, faculty, institutional GME leadership, and external regulatory organizations, such as the American Board of Anesthesiology, to ensure the effective management, accreditation compliance, and continuous improvement of the residency program.
The coordinator ensures adherence to ACGME Common Program Requirements, specialty-specific requirements, and institutional policies, while supporting the educational mission and maintaining accurate documentation, reporting, and program infrastructure.
Responsibilities:
Accreditation and Regulatory Compliance
Maintain ongoing compliance with ACGME Common and specialty-specific Program Requirements.
Coordinate and maintain accreditation documentation, including ADS (Accreditation Data System) updates.
Prepare and support ACGME site visits, annual updates, self-studies, and program evaluations.
Track and maintain resident case logs, duty hours, evaluations, and milestones.
Ensure accurate and timely reporting to ACGME, ABA, NRMP, ERAS, and institutional GME offices.
Maintain confidential resident and program records in accordance with institutional and regulatory standards.
Program Administration
Coordinate daily administrative operations of the residency program.
Serve as primary administrative liaison between residents, faculty, program director, and institutional GME office.
Manage resident onboarding, orientation, and offboarding processes.
Maintain resident personnel files, training records, and credentialing documentation.
Coordinate resident schedules, rotations, call schedules, and leave tracking.
Monitor resident licensure, certifications, visa status (if applicable), and training verifications.
Recruitment and Selection
Coordinate residency recruitment activities, including ERAS application management.
Organize interview schedules, recruitment events, and candidate communications.
Support program director and selection committee during recruitment and ranking processes.
Ensure compliance with NRMP match policies and timelines.
Evaluation and Educational Support
Manage resident and faculty evaluations using UVA’s residency management system: New Innovations.
Assist in coordinating Clinical Competency Committee (CCC) and Program Evaluation Committee (PEC) meetings.
Track resident progress, milestone reporting, and remediation documentation as needed.
Coordinate educational conferences, meetings, and academic events.
Meetings and Communication
Schedule and prepare materials for program meetings, including CCC, PEC, faculty meetings, and resident meetings.
Prepare agendas, maintain minutes, and ensure follow-up on action items.
Communicate policies, deadlines, and program updates to residents and faculty.
Data Management and Reporting
Maintain databases and residency management systems.
Prepare reports for ACGME, institutional leadership, and program director.
Assist with surveys such as the ACGME Resident and Faculty Surveys.
Financial and Administrative Support
Assist with budget tracking related to program activities.
Process reimbursements, educational funds, and program expenses.
Coordinate travel and conference logistics for residents and faculty.
Minimum Qualifications
Education: Bachelor's degree required.
Experience: 2+ years of relevant professional experience required.
Experience working with ACGME accreditation standards preferred.
Experience with residency management systems (e.g., MedHub, New Innovations, or equivalent) preferred.
Preferred Qualifications
Experience supporting an ACGME-accredited residency or fellowship program.
TAGME certification (Training Administrators of Graduate Medical Education) or willingness to obtain certification.
Experience with ERAS, NRMP, and ACGME ADS systems.
Knowledge of ACGME accreditation requirements and GME processes preferred.
Excellent organizational and project management skills.
Strong attention to detail and ability to manage multiple priorities.
Excellent written and verbal communication skills.
Ability to maintain confidentiality and professionalism.
Proficiency in Microsoft Office Suite and database management.
Ability to work independently and collaboratively.
Physical Demands
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.

This is a restricted position, which is dependent on funding and is contingent upon funding availability.
This position is based in Charlottesville, VA, and is eligible for a hybrid schedule after probationary period in accordance with UVA’s remote work guidelines.
Office-based environment within academic medical center.
Occasional evening or extended hours during recruitment season or accreditation activities.
Frequent set-up/clean-up of conferences, food, meetings
Substantial walking between hospital and academic offices
Minimal travel may be required for professional development.
