Senior Administrative Assistant, Department of Surgery

The Department of Surgery at the University of Virginia seeks applicants for a Senior Administrative Assistant. This position performs advanced, diversified, and confidential administrative duties supporting faculty members in departmental and institutional leadership positions.
Primary hours are 8-4:30pm, and the position will be on grounds in Charlottesville Monday through Friday.
Responsibilities include:
- Scheduling and maintaining a calendar of appointments, meetings, and travel itineraries
- Preparing agendas and taking meeting minutes
- Facilitating high level recruitment itineraries
- Preparing and composing routine correspondence, memoranda, and reports
- Providing advanced administrative coordination to support office operations and special projects
- Reviewing and answering correspondence, screening callers and visitors, and handling confidential matters
- Facilitating communication across the department and institution, with alumni and the general public
- Managing electronic files, producing reports, and tracking expenses
- Incumbent must exercise discretion in handling confidential, sensitive, and timely information
- In addition to the above job responsibilities, other duties may be assigned
Minimum Qualifications
- Education: High School diploma or equivalent
- Experience: 3+ years relevant experience
Preferred Qualifications
- Demonstrated proficiency in all Microsoft Office applications
- 4 years of experience supporting executive or senior level staff
- Proven experience as a Senior Level Assistant or similar role
- Excellent organizational and time management skills
- Detail-oriented with skills in communication and organization
- Strong written and oral communication skills
- Ability to multi-task and discern priorities
- Ability to work independently and part of a team
Physical Demands
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
The anticipated hiring range is $19.50–$27/hour, commensurate with education and experience.

This is a restricted position, which is dependent on funding and is contingent upon funding availability.
This position is based in Charlottesville, VA, and must be performed fully on-site.
