Patient Lodging and Support Services Specialist

Serving as both a welcoming first point of contact and an essential operational partner, the Specialist helps ensure the Hospitality House and contracted lodging programs run smoothly, efficiently, and with a focus on delivering an exceptional guest experience.
These roles are responsible for providing administrative services to the organizations schools/units/leadership. Activities may include preparing documents of varying complexity, managing the collection, recording, sorting and filing of data/information, preparing reports, making travel arrangements, arranging appointments/meetings, responding to inquiries.
Guest Services & Experience
- Welcome guests by greeting, registering, checking them in, and overseeing check-out procedures; prepare associated reports.
- Serve as a knowledgeable, compassionate resource for guests, offering guidance and support prior to and throughout their stay.
- Provide consistent, professional, and courteous customer service in all interactions.
- Address guest needs, requests, and concerns in a timely, professional manner.
- Answer and route incoming phone calls.
- Ensure all guest information is collected, documented, and stored accurately and confidentially.
- Accurately handle payments, and related financial transactions.
Lodging Operations & Coordination
- Manage all lodging reservation requests from patients, families, social workers, and care teams, ensuring timely review, placement, and confirmation communication.
- Help coordinate daily operations of the Hospitality House and supported lodging programs to foster a safe, clean, and welcoming environment.
- Help coordinate room assignments, availability, and upkeep with housekeeping and maintenance partners.
- Maintain working knowledge of facility services, policies, referral criteria, room types, shuttle services, and related offerings.
Program Administration & External Partnerships
- Coordinate processes related to philanthropic financial assistance for patients and families.
- Support hotel contract management to ensure the availability of high-quality, cost-effective lodging options.
- Collaborate with external partners (e.g., hotels, vendors) to uphold service standards and operational efficiency.
- Seek feedback from guests and internal stakeholders to support ongoing program improvement.
In addition to the above job responsibilities, other duties may be assigned.
MINIMUM REQUIREMENTS
Education: High School Graduate or Equivalent Bachelor’s Degree preferred.
Experience: 2 years relevant experience required.
Licensure: None required.
PHYSICAL DEMANDS
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
