Senior Inventory Management Specialist, Student Health and Wellness

Operational Management
- Oversee ordering, receiving, reconciliation, and vendor coordination.
- Maintain accurate records using Excel, Medicat, Smartsheet, and inventory systems.
- Ensure proper storage, labeling, organization, and security of inventory.
- Monitor expiration dates, stock rotation, and discrepancies.
Supply Chain Coordination & Vendor Management
- Serve as the operational point of contact for vendors.
- Track backorders and supply chain disruptions.
- Provide data and recommendations for procurement decisions.
Compliance & Accreditation
- Ensure compliance with AAAHC standards for medication management.
- Maintain regulatory documentation and perform audits.
- Participate in inspections and accreditation activities.
Forecasting, Data Analysis & Financial Support
- Analyze usage trends and forecast inventory needs.
- Prepare data and cost analyses to support financial planning.
- Systems, Documentation & Process Improvement
- Implement and refine inventory tracking systems.
- Develop and update procedures and training materials.
- Ensure accurate documentation for audits and internal controls.
Cross-Functional Collaboration
- Collaborate with clinical teams and leadership to align inventory operations.
- Support billable inventory processes under direction of the Assistant Director.
Leadership & Supervision
- Provide day-to-day supervision, guidance, and task delegation for the Inventory Specialist.
- Support performance input for annual evaluations.
- Ensure staff compliance with established procedures and safety practices.
Other Duties
- Support accreditation initiatives and operations as assigned,
Minimum Requirements
Education: Bachelor’s degree preferred or relevant work experience.
Experience: Five (5) plus years in Supply Chain Operations in a large Health System required.
Preferred Qualifications
Supervisory experience preferred.
Knowledge, Skills & Abilities
- Understanding of inventory management and supply chain operations.
- Proficiency with Excel, Smartsheet, and electronic systems.
- Ability to interpret data and support budget-related planning.
- Strong organizational, communication, and problem-solving skills.
- Ability to lift and move supplies.
About the Position
The anticipated hiring range for this position is $66,500-$88,000, commensurate with qualifications and experience. This is a full-time, 40 hours/week, benefits-eligible position with UVA benefits. The selected candidate will pass a background check and drug screen. This position will not sponsor applicants for work visas now or in the future.
The role requires sitting for prolonged periods, frequently traveling; repetitive motion (computer tasks); proficient communication, auditory and visual skills; attention to detail and ability to write legibly; ability to lift/push/pull less than 20lbs. May be exposed to outdoor climate. This role includes both administrative work and physical activity including lifting and movement of medical supplies.
