Graduate Admissions & Recruiting Coordinator

The McIntire School of Commerce at the University of Virginia seeks a Graduate Admissions & Recruiting Coordinator to support the recruitment and admissions efforts for its portfolio of graduate business programs. Reporting to the Executive Director of Graduate Marketing & Admissions, this role plays an important part in helping prospective students discover, engage with, and ultimately enroll in McIntire’s graduate programs.

The coordinator works closely with colleagues across the Graduate Marketing & Admissions team to support applicant engagement, coordinate recruitment events, and ensure the smooth execution of day-to-day operations.
Responsibilities
Executive & Office Operations Support
- Manage the Executive Director’s calendar, scheduling meetings and coordinating logistics with internal and external stakeholders.
- Serve as a welcoming point of contact for visitors, prospective students, and campus partners.
- Maintain organized office operations including inventory tracking for recruitment materials and event supplies.
- Support coordination of internal meetings and team communications.
- Provide general administrative and project support for the Graduate Marketing & Admissions team.
Process Coordination & Team Support
- Assist in tracking projects, deadlines, and operational workflows for the team.
- Support efforts to improve organization and efficiency across team operations.
- Build collaborative relationships with colleagues across McIntire and the broader university community.
Budget & Procurement Support
- Assist with procurement processes including vendor setup, contract coordination, and purchase requests.
- Support travel arrangements and expense reconciliation for the Executive Director.
- Maintain awareness of university financial policies and procedures.
- Assist with tracking expenses and preparing summary reports for team activities and events.
Event Coordination & Recruitment Support
- Support the planning and execution of recruitment and admissions events across McIntire’s graduate programs, including hosting events, information sessions, and candidate engagement initiatives.
- Coordinate event logistics such as space reservations, catering, materials preparation, registration tracking, and on-site event support.
- Assist with vendor coordination and event-related procurement processes.
- Support post-event follow-up efforts including attendee communications and CRM updates.
Admissions Operations Support
- Assist with monitoring applicant progression within the admissions CRM system (Slate) and support outreach efforts to prospective students and applicants.
- Help maintain accurate applicant records and support admissions workflows and communications.
- Assist in tracking prospective student engagement and admissions-related activity.
- Provide general support to the admissions team throughout the application and enrollment cycle.
- Other duties as assigned.
Minimum Qualifications
- Education: High School Graduate or equivalent required.
- Experience: 3+ years relevant experience required.
Preferred Qualifications
- Excellent office management skills with the initiative and flexibility to take on new projects and learn new technologies and/or systems as required.
- Experience supporting events, admissions, recruitment, or customer-facing programs.
- Familiarity with CRM systems (Slate or comparable platforms)
- Experience with budget tracking, procurement, or financial coordination.
- Ability to work under tight deadlines and manage multiple priorities.
- Strong technical skills including Outlook, Word, Excel, Teams and PowerPoint.
The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment. They will bring strong communication skills, sound professional judgment, and a proactive approach to supporting both team operations and prospective student engagement.
Physical Demands
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
Anticipated Hiring Range: $20.00 - $25.00 per hour, commensurate with experience.
Anticipated Start Date: Summer 2026
Position Type & Work Location

- This position is based in Charlottesville, VA, and must be performed fully on-site.
- Due to the nature of the role and its responsibilities supporting events, candidate engagement, and team operations, this position is based fully on-site and is not eligible for remote or hybrid work arrangements.
