Part of the the University of Virginia's Enrollment Division, the Office of the University Registrar (UREG) advances the university’s teaching mission by maintaining the accuracy, integrity, and security of student academic records. UREG also leads curriculum management, course scheduling, and course evaluations (SETs) within the Office of the University Registrar (UREG).

As a key member of UREG’s Course Operations team, the Course Scheduling Specialist builds, maintains, and audits the University’s Schedule of Classes to ensure accurate, timely, and policy‑compliant course, meeting, and room data in the Student Information System (SIS). The Specialist partners with school‑based schedulers, academic departments, classroom management collaborators, and the Office of the Provost to support a high‐quality academic experience for students and instructors.

Note: Two specialists will be hired from this posting.

Key Responsibilities

Course Scheduling Operations

  • Coordinate with classroom‑scheduling partners to align instructional needs with academic spaces and implement scheduling policies.
  • Ensure alignment with institutional and state expectations related to instructional space use.
  • Create, publish, and maintain the Schedule of Classes and Schedule of Examinations each term using platforms such as PeopleSoft, 25Live and X25.
  • Apply university guidelines for academic space utilization.
  • Analyze historical patterns to identify unmet space needs.
  • Ensure alignment with institutional and state expectations related to instructional space use.
  • Coordinate with classroom‑scheduling partners to align instructional needs with academic spaces and implement scheduling policies.

Service Delivery & Stakeholder Experience

  • Serve as the primary point of contact for assigned schools/departments for all course‑scheduling matters.
  • Build strong working relationships with school schedulers and department staff to understand needs, timelines, and constraints; tailor guidance to unit context.
  • Provide high‑quality customer service via email, phone, and meetings; collaborate closely with colleagues across UREG, Enrollment, and the wider University community.
  • Assist with training sessions and contribute to process guides and instructional materials.

Required Qualifications

  • Education: Bachelor’s degree or four years of relevant higher‑education or scheduling experience.
  • Experience: At least one year of student records or academic scheduling experience. Additional experience may be considered in lieu of a degree.
  • Strong communication skills and relationship‑building in decentralized environments.
  • Strong problem-solving abilities and attention to detail.
  • Intellectual curiosity and commitment to professional growth.
  • Comfort with change and ability to thrive in dynamic settings.

Preferred Qualifications

Preferred requirements include prior knowledge of academic scheduling, previous experience working directly with faculty, knowledge of the policies and procedures of curricular development, PeopleSoft, or other student information systems, and/or the ability to independently research topics pertaining to position responsibilities, develop recommendations, and implement accordingly.

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require a regular in-person presence weekly in Charlottesville, Virginia. Members of UREG are currently expected to work in person at least two days a week and every weekday for the first 90 days.

The anticipated hiring range is $55,000 - $60,000, commensurate with education and experience.

This is an EXEMPT level, benefited position.
