The HIS Analyst is an an entry level position that supports the integrity, accuracy, and organization of the legal medical record within UVA Health’s electronic medical record (EMR) environment. This position is responsible for performing complex review, quality assurance, and maintenance of documentation received through multiple sources, including external email, scanning, and digital interfaces. The HIS Analyst ensures compliance with UVA Health policies, HIPAA privacy regulations, and state and federal documentation standards. This role contributes directly to patient care by maintaining complete, accurate, and timely medical records.

Key Responsibilities:

Document Review, Indexing, and Quality Assurance
• Reviews medical records to verify all documentation is correctly filed and assigned to the appropriate patient, encounter, and document type.
• Uploads documentation received from external email sources to the EMR following UVA Health’s Document Import Process.
• Performs QA on documents to ensure accuracy, completeness, and correct placement within the patient record.
• Runs and verifies daily Media Manager reports to confirm documents are attached to the appropriate document type and encounter.
• Maintains data accuracy for all document imports, scanned images, and electronically interfaced documentation.

Compliance and Regulatory Requirements

• Ensures compliance with HIPAA privacy and security regulations when handling patient information.
• Applies UVA Health policies and procedures—including the Structure of the Medical Record, HIS Policy 0339, and other HIM operational guidelines—to maintain the integrity of the legal medical record.
• Identifies and escalates documentation inconsistencies, errors, or record integrity concerns to the appropriate HIM leadership or analysts.

Operational and Workflow Support

• May be pulled to assist with Advance Care Planning (ACP) workflow, including processing, reviewing, and indexing ACP documents.
• Ensures timely completion of assigned work queues, including Document Indexing, Media Manager, QA queues, and specialty project assignments.
• Participates in departmental meetings, workflow updates, training sessions, and continuous improvement initiatives.
• Completes and submits weekly production reports and performance metrics to management as required.
Analyzes each patient health record.
Communicate with customers.
Performs area-specific support/technical activities.
In addition to the above job responsibilities, other duties may be assigned.

MINIMUM REQUIREMENTS

Education: High School Graduate or Equivalent. Must successfully pass AHIMA approved Medical Terminology CBL course within 12 months of hire date.
Experience: No experience required
Licensure: None required

PHYSICAL DEMANDS

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.

The starting base rate for this role is $15.00 hourly. Individual compensation will be determined by the selected candidate's qualifications, previous work experience, and/or education.
