The Department of Mathematics at the University of Virginia College and Graduate School of Arts and Sciences is seeking applicants for the Undergraduate Program and Office Coordinator position. This position plays a central role in the day-to-day administration of the department’s undergraduate program and the business office.

Responsibilities

This successful candidate will be expected to:

Serve as the department Undergraduate Coordinator

  • Provide direct support to the Director of the Undergraduate Program (DUP) and work in tandem with the department's course scheduler.
  • Oversee confidential student records in the Student Information System (SIS); auditing them regularly to ensure that students are properly enrolled and are meeting key deadlines and milestones for their programs.
  • Serve as the primary point of contact for enrolled students and prospective students. Manage the general dissemination of program information.
  • Audit and confirm that students have met all degree requirements and are eligible for graduation.

Serve as the Office Coordinator

  • Oversee daily office operations, that includes tracking department parking spots, maintaining office keys and office machines.
  • Organize and schedule department functions.
  • Arrange travel for department visitors and process expense reimbursements.
  • Managing and onboarding business office student workers.
  • Maintain and organize the supply room. Track inventory and purchase office supplies as needed.
  • Develop office policies and procedures.
  • Manage special projects as they come up and support academic coordinators and fiscal staff as needed.
  • In addition to the above job responsibilities, other duties may be assigned.

Minimum Qualifications

Education: High School Graduate or equivalent.

Experience: 3+ years of relevant experience.

Preferred Qualifications

  • Experience documenting procedures.
  • Purchasing and Supply management experience.
  • Strong working knowledge of UVA Software: SIS, SAFM and Workday. High level proficiency in MS Word and Outlook, Canva, as well as cloud-based document management (Microsoft Office OneDrive, Box, Smartsheet).

Physical Demands

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.

Anticipated Hiring Range: $26.00 - $30.00, commensurate with experience.
