The Department of Athletics at the University of Virginia is accepting applications for the position of Director of Operations, Wrestling. Reporting to the Head Coach, Wrestling, this role supports the needs of the Wrestling program and student athletes.
The Director of Operations position exists to provide a high level of operational and logistical support to the Intercollegiate Athletic sport program of Men's Wrestling and to assist in achieving a nationally recognized program, both on and off the mat, in a manner that meets all guidelines set by the University of Virginia, the ACC, and the NCAA. Responsibilities include exemplary customer service to internal and external constituencies; providing operational and logistical support to the head wrestling coach, coaching staff, support staff and student- athletes as requested; supporting operational and game day needs; providing game day technical support; assisting in film breakdown and editing; and performing other duties as assigned that support or add value to, the goals and objectives of the unit.
The incumbent prioritizes work tasks as dictated by the needs of the Head Coach and Coaching Staff. Assists in all travel needs and planning. Assists in all recruiting strategies and efforts and all administrative responsibilities/paperwork including completing required compliance documents with the guidelines established by the University, athletic department compliance office, NCAA and ACC and completing reimbursement forms for Official Visits per policy. Ability to work nights/weekends/holidays, travel with team, etc. is a must. Need to have a flexible schedule and be able to travel for competitions.
Duties and Responsibilities:
Competition Schedule
- Organize and coordinate the competition schedule.
- Secure facilities for desired dates.
- Create contracts for home dates.
- Email coaches to recruit teams for the Cavalier Quadrangular.
Team Travel
- Book competition flights, hotels, workout rooms, & ground transportation through company travel agent.
- Coordinate travel itinerary, travel roster, rooming lists and distribute appropriately.
- Handle per diem requests/distribution.
- Coordinate with Equipment Room regarding travel party and gear.
Recruiting
- Work with onsite travel agent for lodging, transportation, and flight needs for all recruiting events (unofficial and official visits).
- Provide administrative assistance to coaches, including but not limited to distribute recruiting mailers, receiving recruit calls, upkeep of scholarship spreadsheets, etc.
Administrative/Budget
- Monitor budget.
- Recruit/oversee process for obtaining volunteer student assistants/interns.
- Complete Team periderm forms at least one week before Christmas and Spring Breaks.
- Work with the Compliance Office to coordinate all compliance-related information and forms, including but not limited to Official Visit and Unofficial Visit Forms NCAA Eligibility Center numbers, HS transcripts, test scores, per diem forms, Prospect Receipt Forms, complimentary tickets for recruits/parents, and Outside Competition forms.
Student-Athletes
- Communicate onboarding information to freshmen class regarding class schedules, housing, orientation, etc.
- Coordinate Team Year-End Banquet, including but not limited to selecting date, securing facility, scheduling caterer, and handling decorations, ordering awards, sending invitations, etc.

MINIMUM REQUIREMENTS
Education: Bachelor's degree required. 4 years of relevant experience may be considered in lieu of degree.
Experience; Some working knowledge of the sport program to be supported
Licensure: None
PHYSICAL DEMANDS
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
