The University of Virginia Darden School of Business seeks a Program & Events Coordinator to join its team in Charlottesville, Virginia.
This position has two primary functions, 1) To support the operational and administrative needs of the LaCross Institute for Ethical AI in Business and 2) To serve on the shared services team that provides communication, event and administrative support for the other centers of excellence at Darden (Batten Institute for Entrepreneurship, Innovation and Technology; Institute for Business in Society; and the Mayo Center for Asset Management). This role reports to the Director of Shared Services with the Director of the LaCross AI Institute providing direction for the institute’s portion of the position.
This position will work closely with faculty, staff and students to facilitate the execution of programs, events and initiatives that are led by the Centers of Excellence and Darden faculty. The successful candidate will be outgoing, entrepreneurial, flexible and highly organized. This position requires superb communication skills and a high degree of professionalism, suitable for interacting with an array of constituents.
Key Responsibilities of the role
Administrative Support:
- Help manage scheduling, communications, and coordination of meetings, seminars, and events.
- Assist in managing center budgets and financials, including processing reimbursements, invoices, and expense reports.
- Maintain and update center databases, records, and files.
Program and Event Management:
- Help plan, organize, and execute center programs, such as research projects, faculty and student seminars and courses and other educational programs, which can occur outside of typical business hours.
- Help plan, organize and execute center events, such as conferences, workshops, guest speakers and webinars, which can occur outside of typical business hours.
- Help manage relationships with external partners, including sponsors, speakers and collaborators.
Communications:
- Help draft and proofread communication materials such as newsletters, announcements and project summaries.
- Assist in maintaining the research centers’ web and social presence.
- Assist in creating and executing digital communications.
- Liaise with internal and external stakeholders, including academic institutions, industry partners, vendors and alumni.
Minimum Qualifications
Education: High School Diploma or equivalent required.
Experience: 1+ year of relevant experience required.
Preferred Qualifications
- Bachelor’s degree is strongly preferred.
- Experience with Microsoft Office Suite software. (e.g., PowerPoint, Outlook).
- Higher education experience, working with academic programs.
- Experience managing website and social content.
- Competency in Adobe (e.g., Photoshop), Salesforce (e.g., Marketing Cloud) and/or similar web, communication, and design tools (e.g., Canva, Acorn).
The ideal candidate will possess administrative/general office support experience that can be demonstrated through a combination of work and extracurricular activities, ability to work under tight deadlines and manage multiple priorities, strong interpersonal relationships and teamwork skills, and the ability to work independently and exercise sound judgement.
Physical Demands
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
Hiring Range: $25.00 - $26.00 per hour.
