The University of Virginia is seeking an Assistant Administrator to support the School of Medicine’s Department of Physical Medicine and Rehabilitation.
This position provides day-to-day operational and strategic support to the Department Administrator and oversees key departmental functions including medical education/residency program, promotions and tenure, clinical privileging and credentialing, recruitment coordination, and faculty communications. The role also supports initiatives at the direction of the Department Administrator, including institutional reporting across all missions, financial analysis, and other activities supporting the department’s research, education, and clinical programs.
Key Responsibilities
Administrative Operations Support
- Lead cross-functional departmental initiatives involving clinical operations, faculty affairs, and administrative infrastructure to ensure alignment with institutional priorities and operational efficiency.
- Oversee faculty lifecycle processes including recruitment coordination, onboarding, credentialing, privileging, and promotion timelines to ensure compliance with institutional and regulatory standards.
- Serve as a liaison between the department and institutional stakeholders including Faculty Affairs, HR, Finance, Marketing, and clinical operations to coordinate initiatives and resolve complex administrative matters.
- Lead administrative and operational projects from planning through execution, ensuring timelines, deliverables, and stakeholder expectations are met.
- Identify opportunities for process improvement and implement solutions that strengthen efficiency, communication, and compliance across departmental operations.
- Prepare executive-level briefings, reports, and strategic summaries for departmental and institutional leadership.
- Ensure departmental compliance with institutional policies, accreditation standards, and regulatory requirements related to faculty affairs and operations.
- In addition to the above job responsibilities, other duties may be assigned.
Medical Education/Residency Coordinator
- Provide direction, leadership, and day-to-day management of educational and departmental activities in Physical Medicine and Rehabilitation Residency Training Program, ensuring that the training meets the requirements set by national certifying agencies while ensuring the maximum educational experience for the residents.
- Coordinate recruitment and credentialing of new residents annually as well as process graduates through the graduation/exit process.
- Prepare and coordinate ACGME’s Next Accreditation System (NAS)
- Coordinate departmental educational activities outside of residency training program.
- Coordinate multiple medical student elective rotations with the UVA School of Medicine.
Minimum Qualifications
Education: Bachelor's degree
Experience: Four years of increasingly responsible management and administrative responsibility is required. Two years of supervisory experience is required. Relevant exempt level experience may substitute for a degree.
Physical Demands
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
Hiring Range: $80,000 – $85,000, commensurate with education and experience.

- This position is based in Charlottesville, VA, and is eligible for a hybrid schedule, with additional on-site presence as needed, after required in-person training and in accordance with UVA’s remote work guidelines.
