The Fried Center for the Advancement of Potential (FCAP) at the University of Virginia’s Student Health and Wellness Center is seeking a qualified Clinical Administrative Assistant to support daily operations within a clinical training environment. The Fried Center provides functional fitness training services to UVA students and the greater UVA community.

This position is a hybrid role, ranging from 0-15 hours per week.

The Clinical Administrative Assistant will work under the supervision of licensed Physical Therapists and in collaboration with FCAP Interns.

Key Responsibilities:

Administrative Support

  • Manage front desk operations, providing necessary client forms/paperwork and welcoming clients into the clinic.

  • Coordinate client referrals

  • FCAP Intern staff scheduling

  • Schedule client appointments, ensure consistent follow-ups

  • Manage cancellations and reschedule appointments as needed

  • Coordinate workflow to minimize unproductive clinical time and maintain smooth operations.

  • Inventory and supply management

  • Assist with marketing and client outreach throughout the university setting

Data Collection and Tracking

  • Document client referrals, procedures
  • Document the details of client interaction during initial evaluations or consultations.
  • Maintain up to date, organized medical records, charting client visits and identifying when progress notes are necessary.
  • Identify and track pertinent objective data and outcomes overtime

Clinical Support

  • Collaborate with other staff to improve clinical decision-making utilizing evidence-based guidelines as it relates to closed chain and functional exercise.

Required Qualifications:

  • Experience: Familiarity with relevant software systems used within the program. No prior experience required.
  • Licensure: None required
  • Education: High school graduate or equivalent required
  • Professional Expectations:
    • Demonstrate responsibility, dependability, and maturity
    • Ability to maintain confidentiality at all times
  • Health Requirements:
    • Completion of a pre-work health screening
    • Compliance with immunization requirements for working in a healthcare setting

Preferred Qualifications:

  • Strong organizational skills and attention to detail
  • Ability to commit to the position for one year or longer
  • Prior shadowing or volunteer experience in a healthcare setting

Physical Demands:

  • This is primarily a sedentary role involving extensive use of desktop computers.

Compensation

$20-28/hour, commensurate with knowledge, skills, and experience.
