Job Summary:
The Assistant to the CEO provides high-level administrative and operational support to the Chief Executive Officer. This position reports to the CEO’s Chief of Staff and works in close partnership with the CEO’s Senior Assistant to deliver seamless support across calendar management, travel, communications, logistics, and special projects. While much of the work is driven directly by the CEO, the role also supports cross-functional initiatives led by the Chief of Staff, Senior Assistant, and members of the CEO’s executive leadership team.
The ideal candidate is a highly organized, detail-oriented professional with excellent communication skills, sound judgment, and the discretion to handle sensitive matters. Success in this role requires a collaborative mindset and the ability to navigate shifting priorities in a fast-paced, high-stakes environment.
Primary Responsibilities:
Direct Support to the CEO:
Proactively manage a complex, high-volume calendar, ensuring alignment with the CEO’s priorities and anticipating conflicts or shifts in scheduling.
Coordinate complex domestic and international travel arrangements, including flights, lodging, ground transportation, and detailed itineraries.
Prepare and process expense reports and maintain accurate records for business and personal reimbursements.
Organize, file, and track confidential documents.
Provide real-time support for technology or communication tools as needed, coordinate with WDTech as appropriate.
Serve as a trusted point of contact for internal and external stakeholders, representing the CEO with professionalism, discretion, and a solutions-oriented mindset.
Collaborative Support – Chief of Staff, Senior Assistant, and Executive Committee:
Partner with the Chief of Staff, Senior Assistant, and CEO’s executive leadership team to coordinate logistics and execution of high-priority meetings, conferences, offsites, and strategic initiatives.
Assist in tracking and executing special projects and time-sensitive initiatives led by the Chief of Staff.
Draft and proofread correspondence, memos, presentations, and reports; ensure accuracy, clarity, and professionalism in all written communication.
Act as a liaison with clients, board members, and senior executives.
Be a collaborative team player, providing backup and support to team members as needed.
Education and Experience:
Bachelor’s degree strongly preferred.
Ideally, 1–4 years of experience supporting senior executives in a fast-paced corporate or professional services environment.
Prior experience in financial services, consulting, or another high-performance environment is preferred.
Knowledge, Skills and Abilities:
Willingness and ability to be available outside of standard business hours, including evenings, weekends, and holidays.
Demonstrated ability to manage competing priorities, maintain composure under pressure, and meet deadlines.
Impeccable attention to detail and follow-through, especially in scheduling, communications, and travel coordination.
High degree of discretion and professionalism in handling confidential information and sensitive matters.
Exceptional interpersonal and written communication skills.
Strong technical proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with Box and Workday is preferred.
Self-starter with a strong sense of ownership and accountability.
Flexible, team-oriented, and eager to pitch in beyond core responsibilities when needed.
This position has an estimated base salary of $60,000 - $70,000 plus discretionary bonus. An employment offer is based on the applicant’s relevant work experience, applicable knowledge, skills, abilities, internal equity, and alignment with market data.
