About this role:
Wells Fargo is seeking an Associate Executive Specialist
(Executive Assistant) to support the Head of Commercial Real Estate Credit Risk and Approval Executive.
The Associate Executive Specialist (Executive Assistant) will perform diverse, advanced and confidential daily executive administrative support duties. As a result, this assistant interacts daily with various levels of leadership. They will provide a high level of professional support which includes a balance of senior executive level administrative work, as well, as ongoing ad hoc project/business initiatives such as planning meetings, tracking deliverables and pulling routine reports. This role is ideal for an individual who is highly organized, detail oriented, tech savvy and capable of managing multiple priorities.
The group provides leadership, enhances communications, assists with problem identification and solutions, and shares best practices. In addition, the group provides an enterprise-wide view of risk, assists management and the Board of Directors in identifying and monitoring risks that may affect multiple LOBs and takes appropriate action when business activities exceed the risk tolerance of the company.
In this role, you will:
Support performance of less experienced Administrative Assistant staff and overall effectiveness of team in performing moderately complex to complex administrative tasks
Be responsible for compiling information, preparing moderately complex reports, and balancing routine general ledger lines or expense accounts
Perform complex administrative, transactional, operational, or customer support tasks
Provide a high level of professional support which includes a balance of more experienced level administrative work as well as ongoing ad hoc and project or business initiatives such as planning meetings, tracking deliverables, and pulling routine reports
Assist with selectively referring callers, and answering questions regarding business unit policies and procedures
Provide subject matter expertise and interpretation of administrative procedures to less experienced staff
Provide administrative supervision and support to managers in the areas of reporting, customer, or business documentation
Interact with immediate Administrative Assistant team, functional area, and internal peers regarding routine administrative tasks
Support more experienced level leaders with daily administrative tasks and interact with more experienced leaders across the organization
Required Qualifications:
6+ months of Executive Administration experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education
Desired Qualifications:
Experience providing support to C-Suite/ board level executives
Excellent verbal and written communication skills with the ability to think logically and consider alternatives to provide practical solutions based on a broad understanding of relevant factors
Ability to manage changing travel itineraries, accurately manage expense reimbursement, planning events, manage a busy calendar and appointments flawlessly
Ability to work effectively with key team members and partners across various time zones and locations
Dynamic, highly motivated, target oriented and professionally committed at all times
Excellent organizational skills with the ability to multitask and use initiative
Ability to make timely and independent judgment decisions while working in a fast-paced and results-driven environment
Proven track record for consistently meeting and exceeding goals and delivering a superior level of job performance
Extensive experience to an advanced level of using all Microsoft Office applications e.g. PowerPoint for detailed presentations, Outlook for managing multiple diaries, Excel and Word
Experience working in a detailed multinational organization
Experience working in a financial services organization is essential
Ability to assess issues, make quick decisions, implement solutions, and influence change
Ability to take initiative and work independently with minimal supervision in a structured environment
Ability to develop partnerships and collaborate with other business and functional areas
Strong attention to detail and accuracy skills
Resilient, proactive, and hands-on with a can-do attitude
Meticulous approach with a high attention to detail
