National Grid is hiring for a Document Controller - This position is based in our Warwick office. Hybrid Working model.

(Visa and relocation package are not available for this role.)

Job Purpose

We’re looking for a passionate Document Controller to join out Asset Operation team! You will be involved meticulously in managing all project-related documents to maintain accuracy and compliance with regulatory standards, facilitating seamless communication and collaboration among project teams. By implementing effective document control processes, you will contribute to the overall success of the projects, ensuring that all documentation is readily accessible and properly archived throughout the project lifecycle

This role is based in Warwick, and we encourage a hybrid working approach, although we’re happy to discuss any additional flexibility in working patterns or requirements that you feel could help to make this job work for you!

What you'll do

  • To be the interface with the Main Works Contractor’s document controller(s) and systems to ensure that all contractual documents are correctly administered in compliance with National Grids policies and procedures.
  • To Prepare document transmittal notes and maintenance of all documents received and issued by the Project Team(s).
  • To ensure that all documents are reviewed and approved by relevant individuals / functions prior to issue
  • To ensure that changes and the current revision status of documents are identified and remain legible and readily identifiable.
  • To ensure that documents of external origin are distributed to correct individuals and or departments in correct time scales in line with contractual obligations.
  • Ensure that all documentation generated during the full project life cycle is controlled, traceable and the issue status recorded to provide an adequate audit trail.
  • Responsibility for ensuring that no unintended use of obsolete documents, and to apply suitable identification to them if they are retained for any purpose.
  • To log, distribute promptly and keep updated various instructions from consultants, clients, project managers etc.
  • Establish and maintain a Request for Information system, providing reports to the Project Team.
  • Communicate to the Project Team the abilities of the document control system and source training, technical and procedural support for all users.
  • Thoroughly police the procedures and standards defined in the project's protocols and procedures.
  • Review all comments made on documents to ensure that they have been added electronically to form part of the audit history.

About you

  • Experience of computer literacy in the use and application of standard MS applications, in particular Excel, PowerPoint and Word and SharePoint.
  • Extensive experience in the use of Common Data Environments (CDE) and/or collaboration software.
  • Experience of project delivery and using naming conventions and metadata in document control.
  • Awareness of: Construction contract environment, including contractual terms of conditions and processes.
  • Demonstratable experience of functioning as a member of an integrated team.
  • Experience and Knowledge of project handover records and CDM Health & Safety file requirements.
  • Experience in creating a culture of continuous improvement through the use of systems and procedure.

What you'll get

A competitive salary between £38,000 - £40,000 – dependent on capability

As well as your base salary, you will receive a bonus based on personal and company performance and a competitive contributory pension scheme where we will double match your contribution to a maximum company contribution of 12%.
