National Grid is hiring a Document Controller- This position is based from our Warwick office however we offer flexible hybrid working options.

Job Purpose

As a Document Controller you will provide a support to a Senior Document Controller and you will act as a custodian of Customer Network Development (CND) documents ensuring accurate records are stored and maintained across document database and systems in NGET.

You will provide a document control and assurance for projects in Development stages at key project milestones.

This role is pivotal in ensuring compliance with document security and control procedures, while enabling efficient collaboration across teams and stakeholders.

What You'll Do

Governance & Assurance

  • Serve as the primary contact for all document management activities across CND project teams.
  • Maintain accurate and compliant records across document databases and management systems, in line with National Grid’s data security and document control policies.
  • Provide support to project development teams on document storage, management systems, and associated processes.
  • Ensure adherence to the document derogation process throughout project development.
  • Provide assurance on document quality, ensuring submissions meet required standards for key storage systems.
  • Provide initial assurance on information quality, ensuring documentation is ready for a sign off at major project milestones (e.g. Gate B) and is auditable under the regulatory environment requirements.
  • Participate in governance and gate meetings, providing document assurance, quality checks, and sign‑off.

Process Development & Management

  • Support a development and maintenance of Standard Operating Procedures (SOPs) for documents quality control and assurance at BP500 development milestones.
  • Support a creation and implementation of a strong handover process between development and delivery stages.
  • Support a maintenance of handbooks, Terms of Reference (TORs), and SOPs for governance processes ensuring full compliance with BP100 Data Security and Document Control Procedures.
  • Collaborate with internal and external stakeholders to embed document control best practices across the project lifecycle.

SharePoint Administration

  • Support the establishment and administration of SharePoint sites for project collaboration, including site structure, permissions, governance, and user guidance.
  • Assist with the planning and execution of document migration into new project SharePoint environments.
  • Develop clear, user-friendly SOPs outlining how to set up and manage SharePoint to serve projects in development and delivery
  • Development and maintenance of document storage in SharePoint for PMO team

About You

  • Basic understanding of document management systems, document quality assurance and governance, and information assurance principles.
  • Attention to detail and commitment to document integrity.
  • Ability to collaborate effectively across teams and with external partners.
  • Basic knowledge of Electronic Document Management Systems (EDMS)
  • Basic knowledge of administering SharePoint sites.
  • Experience supporting project teams within engineering project development or delivery environments (desirable).
  • Knowledge of the Electricity Transmission (desirable)

A competitive salary between £36,000 – £39,000 dependent on capability
