Document Controller

About the role

At National Grid Interconnectors, we're playing a critical role in delivering the UK's net zero future. Our growing portfolio of High Voltage Direct Current (HVDC) interconnectors connects the UK with neighbouring countries, enabling the secure import and export of electricity and supporting a more resilient, sustainable energy system.

Operating 5.8GW of interconnector capacity, our teams are central to the safe and reliable operation of the UK's energy network every day. As we continue to expand and develop new projects, we're looking for a Document Controller to join our Governance, Risk and Controls team.

This is an exciting opportunity for someone looking to develop a career in document control, information management and governance within a highly regulated operational environment. You'll help implement and maintain document control processes within our new SharePoint-based Document Management System (DMS), ensuring critical operational information is managed effectively and remains accessible, accurate and compliant.

Working closely with colleagues across our Interconnector portfolio, you'll develop strong stakeholder management skills while gaining valuable experience supporting a business at the forefront of the energy transition.

We currently operate a hybrid working model and would typically expect you to be in the office based in Warwick around two days per week.

What you'll do

  • Support the application of document control policies, standards and procedures.
  • Assist with compliance activities and document assurance processes.
  • Identify and escalate risks, issues or non-compliance where appropriate.
  • Support the administration of DMS permissions, folder structures and document libraries.
  • Support document lifecycle activities from creation through to review, approval and publication.
  • Maintain document metadata and ensure documentation follows controlled processes.
  • Assist in managing document registers and ensuring information is accurately stored, classified and traceable.
  • Support document control services in line with agreed service standards.
  • Help identify and remediate non-compliant documents, including metadata, storage and version control issues.
  • Develop an understanding of information governance, retention requirements and information security principles.
  • Provide reliable and accurate support to operational and project teams.
  • Follow established document control procedures and contribute to consistency across the portfolio.
  • Support reporting and document register maintenance activities.
  • Provide wider administrative support to the Information Management team, including meeting coordination and record keeping.
  • Work collaboratively with document authors, reviewers and approvers to support controlled document lifecycles.
  • Respond to user queries and provide guidance on document management processes and standards.
  • Support training, onboarding and adoption activities across Operations teams.
  • Escalate complex requests to senior team members when required.
  • Carry out first-line quality assurance checks, including document metadata, naming conventions and version control compliance.
  • Contribute ideas to improve processes, user experience and system effectiveness.
  • Support continuous improvement initiatives within the Document Management System.

What you'll need

We're looking for someone who is organised, detail-oriented and eager to learn. You may already have some experience in document control, administration or information management, or be looking to develop your career in this area.

You'll ideally have:

  • Experience or exposure to document control, administration or information management activities.
  • Strong attention to detail and the ability to work with structured processes.
  • Excellent organisation and communication skills.
  • Experience supporting governance activities or administrative meetings.
  • Good working knowledge of Microsoft Office applications, including Excel, Word, PowerPoint and Teams.
  • Experience using systems such as SharePoint, Common Data Environments (CDEs) or Document Management Systems (DMS) would be advantageous.
  • Awareness of governance, compliance or operational environments would be beneficial but is not essential.

What you'll get

A competitive salary between £40,706.00 - £44,297.50 per annum– dependent on capability.

As well as your base salary, you will receive a bonus based on personal and company performance and a competitive contributory pension scheme where we will double match your contribution to a maximum company contribution of 12%. You will also have access to a number of flexible benefits such as a share incentive plan, salary sacrifice car and technology schemes, support via employee assistance lines and matched charity giving to name a few.
